Supplier and Process Management - Senior Coordinator (m/f/d)

<p> </p> <p>For our Global Fuel purchasing team we are looking for a driven and detail-oriented professional to support and optimize our supplier management and fuel delivery processes. In this pivotal position, you’ll play a key role in maintaining the integrity of our data systems, supporting cross-functional projects, and ensuring smooth coordination between internal and external stakeholders. If you thrive in a collaborative environment, enjoy taking initiative, and are passionate about driving continuous improvement—this is your opportunity to grow with us.</p> <ul><li>Coordinate and execute the supplier onboarding process, ensuring accurate registration and alignment with company policies</li><li>Maintain and regularly update the supplier master data, ensuring completeness, consistency, and accuracy across systems</li><li>Monitor and evaluate supplier performance, following up on issues and supporting continuous improvement initiatives</li><li>Book fuel delivery confirmations ("BDNs" – Bunker Delivery Notes) in internal systems, including following up with suppliers, surveyors, and vessels for missing or incorrect documentation</li><li>Contribute to the continuous improvement of processes, tools, and reporting solutions used by Global Fuel Purchasing</li><li>Support the invoice management process, including verifying invoice accuracy, investigating discrepancies, and coordinating timely resolution</li><li>Support the team in cross-functional projects, including data analysis, documentation, and coordination tasks</li><li>Act as a liaison between internal stakeholders and external partners to facilitate efficient operational support and knowledge sharing</li><li>Ensure compliance with internal controls and documentation standards across all areas of responsibility</li></ul> <ul><li>You are proactive and enjoy taking ownership of your tasks, working with a high level of independence and responsibility</li><li>You have a strong attention to detail enabling you to deliver accurate and reliable results</li><li>You are solution-oriented, able to navigate ambiguity and follow up persistently to close open items</li><li>You bring a positive and collaborative mindset, and enjoy supporting others in achieving common goals</li><li>You are comfortable working in a structured, process-driven environment, but remain flexible when priorities shift</li><li>You are motivated to learn, continuously improve, and explore new ways to contribute—even in a part-time setup</li><li>This role is suitable for junior professionals starting their careers or experienced candidates seeking a meaningful part-time challenge</li><li>Prior experience in an operational or accounting role is preferred</li><li>Experience or interest in working in a global, cross-functional environment</li><li>Basic understanding of invoice handling, vendor master data, or similar back-office functions is a strong asset</li><li>Proficiency with Microsoft Excel and general comfort working with business systems and tools</li><li>Good communication skills in English (spoken and written)</li></ul> <p></p> With a fleet of 287 modern container ships and a Vessel Capacity 2.2 million TEU, as well as a Container Capacity 3.2 million TEU including one of the world’s largest and most modern reefer container fleets, Hapag-Lloyd is one of the world’s leading liner shipping companies.
