About the Role: Office Executive Supervisor: The Counseling Centers:

The North Range Behavioral Health Office Support staff members are located at all North Range Behavioral Health sites and are typically the first line of contact for consumers. We focus on providing first-rate customer service to consumers and other stakeholders who enter our system.

The Office Executive Supervisor is responsible for the coordination and administration of general business activities in a designated division of the organization. Our Office Executive Supervisor supervises their assigned program(s) in their administrative, personnel, customer services, and financial functions in collaboration with program managers, supervisors, and other organizational departments. Develops and organizes office procedures and systems. This position does require the use of independent judgment, originality, and application of support, management, and human relations skills.

 

Key Responsibilities:

  • Develop and establish administrative procedures specific to program assignment; interpret and apply organizational policies to work area; establish or revise operational practices, systems, methods, and procedures; prepare related documentation.
  • Research, conduct, or respond to escalated inquiries and situations relative to the designated unit or program; analyze and/or integrate data; prepare detailed reports and documentation.
  • Screen, direct, and respond to incoming calls and inquiries; interpret departmental practices and/or company policies and procedures; assist with interpretation of policy and procedures; provide interpretations requiring extensive knowledge of state and federal rules and regulations.
  • Assist the management team, as needed, with special projects and reporting needs (i.e., presentations, correspondence, and summary reports); compose or generate correspondence, memos, etc.; proofread and edit documentation to ensure accuracy of content; compile and format program material content such as annual reports.
  • Initiate, manage, and control designated planning or budgetary projects related to the program; may solicit and manage funds for research or related agreements; monitor and maintain budgets and accounting records for department activities.
  • Responsible for special project role assignments representing the department or providing companywide coordination/administrative function (i.e., monitoring program, etc.).
  • Serves as liaison with other departments, external individuals, and groups.
  • Provide day-to-day directions to assigned staff; facilitate and coordinate staff scheduling and appropriate department coverage for planned and unforeseen needs; enforce standard agency procedures; approve time off and submit timesheets for assigned staff.
