This role serves as a trusted partner to the GMs and MDs, ensuring smooth execution of meetings, events, travel, and requests across business units. The position plays a key role in maintaining alignment with company goals, Critical Plays, and operational priorities through exceptional planning, organization, and follow-through.
Responsibilities

Business Operations and Administrative Support

  • Provide high-level administrative and operational support to enable GMs and MDs to focus on business priorities.
  • Serve as a central coordination point for Business Unit requests—proactively handling administrative needs, routing requests to the right teams, and ensuring timely completion and follow-up.
  • Manage complex calendars, coordinate meetings, and ensure alignment across internal and external participants.
  • Support GMs and MDs with meeting scheduling, event coordination, and Town Hall logistics.
  • Assist with office-related needs, including supporting local celebrations, onsite events, and large-scale activities in collaboration with the Employee Engagement team.
  • Perform additional administrative duties as assigned.

Meetings, Events, and Business Reviews

  • Coordinate Business Reviews (held every other month) and Town Hall meetings with GMs and MDs, managing scheduling, logistics, agenda and presentation development, and distribution of materials.
  • Proactively partner with GMs and the executive team to anticipate upcoming activities, events, and milestones in alignment with the company’s fiscal-year planning cadence, ensuring all materials and collateral are prepared in advance.
  • Plan, schedule, and manage key internal sales and partner sessions: meetings, events/ summits, travel, and partner with the Employee Engagement team on large-scale company events to ensure smooth coordination and professional execution.
  • Assist with company travel program, including policy adherence, reservation management (airfare, lodging, and ground transportation), unused ticket tracking, and coordination with approved travel partners.
  • Provide a welcoming, high-quality hospitality experience for guests and visiting teams, including managing agendas and logistics.

Professionalism and Communication

  • Demonstrate professionalism, discretion, and communication that reflect Perforce’s commitment to excellence and confidentiality.
  • Draft, edit, and review correspondence and communications with precision and professionalism.
  • Serve as a primary point of contact for external stakeholders, managing confidential and high-priority interactions with professionalism and sound judgment.

Requirements:

  • Highly organized and detail-oriented, adept at managing multiple priorities, balancing competing deadlines, and maintaining accuracy and focus in a fast-paced environment.
  • Proactive and resourceful problem-solver with sound judgment and the ability to anticipate needs and act with minimal supervision.
  • Strong communicator and collaborator, skilled at building productive relationships across all levels of the organization and with external partners, customers, and vendors.
  • Operates with integrity and discretion, consistently handling sensitive and confidential information with professionalism.
  • Supports operational excellence by helping leadership teams achieve goals through effective planning, coordination, and follow-through.
  • Proficient in Microsoft Word, Excel, PowerPoint, and Outlook, with the ability to quickly learn and master new tools, including AI-driven productivity and collaboration platforms.
  • Flexible and available to work outside standard business hours as needed.
