We are seeking a highly organized and proactive Executive Assistant to support our CEO in a fast-paced environment. The ideal candidate will possess exceptional communication skills, strong attention to detail, and the ability to manage multiple tasks efficiently. This role requires a blend of administrative expertise and interpersonal skills to facilitate smooth operations within the executive office. 

 

Key Responsibilities: 

  • Proactively manage and optimize the CEO’s schedule, balancing internal priorities, client engagements, and travel commitments across multiple time zones with efficiency and discretion. 

  • Serve as the first point of contact for high-level internal and external stakeholders. Represent the CEO with professionalism, sound judgment, and polished communication—both written and verbal. 

  • Partner closely with cross-functional teams to track key initiatives, support execution, and ensure timely follow-through on action items. Anticipate needs and stay ahead of potential roadblocks. 

  • Prepare briefing materials, transcribe meeting notes, and draft correspondence and documents. Maintain meticulous attention to detail while managing confidential information. 

  • Provide support for meetings, presentations, and offsites. Assist in managing vendor relationships, facilities coordination, and front office interactions as needed. 

  • Maintain well-organized records, digital files, and systems to ensure quick access to critical data and documentation. 

  • Support firmwide initiatives, provide occasional backup to client service teams, and uphold our commitment to excellence in every interaction. 

 

Qualifications: 

  • At least 2 years of proven experience. 

  • Proven experience as a personal assistant or in a similar administrative role. 

  • Proficiency in Microsoft Office 365 Suite and other relevant software applications. 

  • Strong project coordination skills with the ability to prioritize tasks effectively. 

  • Excellent customer service skills with a friendly demeanor. 

  • Attention to detail and accuracy in data entry and documentation. 

  • Ability to maintain confidentiality and handle sensitive information with discretion. 

  • Strong written and verbal communication skills. 

  • Previous experience in a corporate environment is preferred but not mandatory.
