POSITION DETAILS

Job Title: Medical Office Manager

Status: This is a full-time, year-round, benefits eligible position.

Classification: Exempt - Salary

Schedule: M-F

Location: This position is primarily based at our Avon location with some travel required to our clinic locations.

Pay Range: The entry range for this position is $70,000 - $85,000 DOE

MEDICAL OFFICE MANAGER OVERVIEW

We are looking for a highly organized and detail-oriented Medical Office Manager to lead the daily operations of our non-clinical medical office. The ideal candidate will be responsible for ensuring smooth office operations, managing and mentoring staff, and fostering a culture of excellence in customer service. This role involves supervising key departments including PBX, Scheduling, and Medical Records, ensuring efficiency, accuracy, and a positive patient experience.

The Medical Office Manager must be an effective leader with excellent communication skills, capable of managing multiple tasks and departments. A strong focus on staff development, operational excellence, and maintaining a supportive and positive work environment is essential.


CORE RESPONSIBILITIES

  • Oversee the daily operations of the medical office, ensuring efficiency, compliance with regulations, and optimal patient satisfaction.
  • Lead, and manage staff across PBX, Scheduling, and Medical Records, including hiring, training, and conducting performance evaluations.
  • Develop, implement, and maintain office policies and procedures to enhance workflow and support a positive, collaborative work environment.
  • Coordinate patient scheduling, billing, insurance verification, and medical records to ensure smooth office operations.
  • Establish and monitor performance metrics to ensure exceptional customer service and departmental efficiency.
  • Ensure the office is well-stocked with necessary supplies and equipment.
  • Organize regular staff meetings to promote communication, feedback, and continuous improvement.
  • Ensure compliance with HIPAA regulations, confidentiality requirements, and all relevant healthcare standards.
  • Promote and maintain exceptional customer service standards

Requirements

MINIMUM QUALIFICATIONS

  • Bachelor’s degree in Business Administration or Healthcare Administration, or a related field preferred
  • 3-5 years’ experience in a medical office management or supervisory role required
  • Exceptional communication and interpersonal abilities.
  • Highly effective project management skills
  • High level of customer service orientation
  • Advanced knowledge of Microsoft Office Suite and data collection software
  • Excellent leadership and team management skills.
  • Proven ability to successfully handle multiple projects
  • Ability to handle sensitive information with discretion and professionalism.
