Job Summary

Works closely with the Recruiters for the Physician & APP Recruitment team. Responsible for coordinating exceptional interview experiences and guiding new hires from offer acceptance to their first day of employment within the organization. Facilitates the transition and assimilation to the department and creates a supportive onboarding environment that provides positive team member experience, engagement and retention.

Essential Functions

  • Works closely with Physician & APP Recruiters to construct candidate itineraries that are comprehensive, meaningful and polished, consistently giving Corewell Health Exceptional Experience. Responsibilities may include managing all aspects of candidate and recruiter travel, lodging and meals – as well as high level recruitment meeting preparation, including scheduling with executive assistants, securing meeting locations and resources, and assisting with generation of supplemental materials.

    Assist Physician Recruiters with candidate site visits as needed. May include escorting candidate to meetings, answering questions as they arise during visit, and serving as a knowledgeable representative of Corewell Health.
  • Maintains and updates Physician Recruitment databases of all candidate profiles and monthly recruiter activity, to assist with generating recruitment reports and tracking candidate metrics. Ensure completion of reporting in an accurate and timely manner. Data collection includes distribution/verification of provider professional references and internal candidate evaluation surveys. Compose and distribute new provider acceptance notifications and maintain accurate distribution list.
  • May be required to Initiate pre-boarding activities to facilitate exceptional onboarding experiences and executes independent problem solving and follow-up with recruiters or leadership as needed. Acts as a liaison for key stakeholders (i.e., Business counterparts, Finance, DS, Facilities, Employee Health Services) to ensure seamless onboarding into the organization.
  • May be required to verify and ensure accuracy of all new hire information including background check clearance and supporting documentation, completion of health assessment, licensures, certifications, fingerprint collection, and i-9 documents. Follows up with team members, third party verifications and appointment scheduling when applicable. Ensures adjudication, compliance and completion of reporting in an accurate and timely manner prior to a new team member’s start date.
  • Ensures that processes and services are continuously monitored for quality, cost-effectiveness and efficiency. Engages in process and quality improvement activities. Maintains and orders supplies for overall onboarding and orientation operations. Process outside vendor invoices and reimbursements. Actively seeks outside direct-billable accounts with a focus on convenience, quality of services, and effective use of budget.
  • Responsible for coordinating onboarding activities using a project management approach for newly hired Physicians, Advanced Practice Practitioners, non-ACGME Program Fellows, MSW, Dietician, PhD, PsyD, BCBA, Genetic Counselors, LL Psychologist and Audiologist across multiple specialties system wide. Responsibilities include but are not limited to: working directly with providers to obtain their medical staff applications and all necessary medical staff and onboarding paperwork, coordination with Digital Services, Talent Attraction, Physician Liaisons, Payor Enrollment and other departments as required.
  • May be required to act as a peer guide and mentor to new Onboarding Experience team members. Supports the lead in developing and enhancing department training. Takes the lead in answering escalated cases and ensures SLAs are met.
  • May be required to lead compliance/risk mitigation and ensures data integrity to the best of their ability. Partners with key HR stakeholders for both internal and external audits to ensure compliance of all new team members joining the organization. Identifies opportunities and continuously develops operational processes to mitigate risk.

Qualifications

Required

  • Associate’s degree or equivalent Human Resources, Project Management, Business Administration, Communications, or related field
  • 2 years of relevant experience Call Center, customer service, patient care, administrative support, project management or related customer facing experience
