Job Overview & Responsibilities

The Program Manager is a mid to senior level role that serves as the manager of a portfolio of key government contract vehicles and programs that have been awarded to a Mythics company.  As the assigned Program Manager, this role serves as the primary point of contact with the government program office for each vehicle in their portfolio.  This role is responsible for timely upkeep of current product and service offerings available via each contract vehicle.  In most cases, this involves submission and negotiation of modifications to the awarded contract to include adding new vendors, establishing subordinate agreements (blanket purchase agreements or participating dealer agreements), addition of new products, removal of deleted products and updates to pricing and terms.  As the PM, this person is responsible for all compliance and reporting matters associated with the programs they support and serves as the subject matter expert for the rules, processes and procedures in place as Mythics sales teams bid on opportunities under the vehicles/programs.

 

This role will work closely with the Business Operations and Vendor Management teams who will obtain updates to price lists and will prepare the modifications and reports needed by the Program Office.  This role requires experience managing large government procurement vehicles in either federal, state and local, or higher education markets in a fast-paced sales environment.

 

Responsibilities and Essential Duties

  •  Submit, negotiate and receive timely awards of contract vehicle modifications, such as:
    • Additions of new products/services
    • Deletion of products/services
    • Price reductions
    • Price Increases
    • Administrative revisions
    • Option renewals
  • Maintain detailed and organized files, including, but not limited to the preparation of contract briefs summarizing contractual requirements and a file for each contract vehicle that includes the original contract, all correspondence, changes/deviations, amendments, clarifications, etc.
  • Assist Mythics and Emergent Sales teams with any contractual questions or issues in response to a request for proposal or request for quote.
  • Manage eTools based on contract requirements
  • Assist Accounting with the review of contract vehicle fee recording and payment.
  • Conduct regular meetings/calls with assigned contracting officer for the applicable contract vehicles.
  • Escalate matters with government counterparts that require expedited review or where efforts have stalled.
  • Drive Contractor Assessment Visits (CAVs), Quarterly Business Reviews (QBRs), or related recurring reviews.
  • Assist Vendor Management team with obtaining required information from vendor partners to comply with contract vehicle requirements, such as:
    • Commercial product certification
    • Partner discounting info
    • Trade Agreement Act Certificate
    • Information on non-standard discounts
    • Commercial price lists
    • Vendor Authorizations; GSA Letter of Supplies
    • Warranties/guarantees
    • Maintenance/repair policies and pricing
  • Assist accounting with closeout activities, as needed, for orders under the applicable contract vehicle.
  • Maintain complete confidentiality of sensitive information.
  • Perform administrative support duties for the department, and other contract support projects and assignments, as needed.

Other Duties

  • Engage with government counterpart to explore new vehicles opportunities or opportunities for expansion of existing vehicles where possible
  • Perform all other duties, as assigned.

Qualifications

  • Bachelor's degree and/or equivalent combination of education and/or experience. 
  • 3-5 years’ contracts experience in State and Local and Federal government and commercial contracting environments.
  • Knowledge of spreadsheet and database applications, data query tools, and MS Office applications, Excel required. 
  • Reseller experience a plus.

  • Strong written and verbal communication
  • Organized with ability to manage multiple projects simultaneously, gathering inputs from various stakeholders.
  • Demonstrated ability to work efficiently and effectively under pressure and tight deadlines
