Job Description Summary

The Administrative Coordinator serves as part of the administrative support team for the University of Pennsylvania Sociology Department office. This position reports directly to the Department Administrator or Director and supports faculty, students and staff. The ability to balance multiple priorities, handle confidential or sensitive information, and coordinate administrative projects is essential in this position. The tasks performed by this position require great attention to detail, ability to manage and report on multiple tasks.

The primary responsibilities include complex schedule management and providing overall, general administrative support to the Department Administrator or Department Director and the department’s constituents including all faculty, students and staff. In addition, the Administrative Coordinator helps plan events and manages all department communications, website updates and social media platforms.

Job Description

Today, the Department preserves its tradition of research and training by a very active interaction between faculty, students, and visitors. Responsibilities:

The tasks performed by the Administrative Coordinator include serving as front desk administrative support for the department, coordinating departmental communications via the department newsletter, management of social media and website maintenance. This position will be responsible for processing reimbursements and payments for vendors, faculty, students and visitors using Concur and BEN Financials, making travel arrangements for colloquium speakers, visitors and faculty. This position will also be responsible for coordinating catering for events and overseeing the duties and schedules of work study students. In addition, this position will assist the department chair, administrator, graduate and undergraduate coordinators with general administrative tasks, including maintaining departmental files and performing other related administrative tasks as assigned.

Qualifications:
High School Grad/GE Degree, and 5 to 7 years of experience or equivalent combination of education and experience is required. Excellent organizational, communication/writing, interpersonal and technical skills. Ability to make sound judgments and meet deadlines. Demonstrated ability to manage multiple projects and presentations simultaneously under tight deadlines required. Must have the ability to work as a team player and help provide support during events and/or activities when necessary. Comprehensive knowledge of office procedures, practices and methods. Demonstrated knowledge of Outlook, Microsoft Office Suite (including Excel) and Adobe Creative Suite.  Experience with BEN Financials and Concur is strongly desired. A working knowledge of Canva, social media platforms and website management is a plus.
