Description

POSITION SUMMARY: The Payables Accountant is under the direct supervision of the Director of Finance. This position’s primary focus will be accounts payable. This includes obtaining documents such as W-9s, reviewing invoices and requesting further information, coding documents with funding information, entering transactions, completing and entering journals, obtaining necessary authorizations, and filing fiscal documents. 

The Payables Accountant will also use their accounting skills to assist and fill in for other team members performing fiscal duties such as accounts receivable, timesheets, journal entries, reconciliation, and reporting. 

DUTIES AND RESPONSIBILITIES: 

· Process/coordinate accounts payable: Review invoices and determine funding. (ECKAN has several grants with different grant periods.) Enter transactions in the accounting system. Properly record and maintain all pertinent documentation relating to entries. Obtain needed authorization signatures. Maintain vendor records. Assist with year-end AP reports and items required by auditors. Review AP and various fiscal reports/transactions for accuracy. 

· Inventory and Procurement: Inventory and purchase office supplies (online, by phone, or in-person). Assist staff with procurement needs. 

· Spreadsheets/Reports: Create and maintain spreadsheets related to invoices, accounts payable, and related fiscal items. Run reports from the financial system to review/reconcile fiscal transactions, and when data is requested by staff. Export data from financial system to Excel, and assist with the creation and/or maintenance of fiscal spreadsheets.

· Office and fiscal errands: Pick up and distribute mail, and take deposits to the bank. 

· Other office and fiscal duties as assigned: Will assist with related fiscal and office duties as assigned. May be requested to attend fiscal or grant-related training.

ADDITIONAL: 

· Must be able to sit for long periods 

· Must be able to spend long periods looking at a computer display.

· Must have a valid Driver's license. 

· Must be able to lift 20 lbs. 

Requirements

· High School Diploma or GED required. Associate’s degree preferred in (accounting, office administration, business, or public administration.)

· Computer skills (Windows, Microsoft Office – Word, Excel and Outlook, financial systems) – including the ability to design basic spreadsheets and the knowledge of Excel formulas.

· Above-average basic math skills, organizational skills, and attention to detail.

· Be able to pass required background and health tests.
