LOCATION: This is a hybrid position requiring regular in-office presence in Kansas City, MO.

ABOUT THE JOB

The Tepa Companies are seeking a Project Administrative Assistant (PAA) provides support to project management and field teams.  The PAA conducts daily administrative tasks and provides administrative support to the construction site project-based team. The PAA provides efficient and effective support directly to the field and will be the primary point of contact for field and office staff regarding subcontractor employee hours and labor classifications, as well as coordinating intra-office communication and streamlining administrative procedures. 

Job Functions:

  • Creates and maintains project files. 
  • Tracks subcontractor paperwork (including but not limited to: subcontracts, insurance, payroll, and pay applications). 
  • Monitors project budgets to ensure resources are used efficiently and report back to management with concerns.
  • Performs cost analysis and provides recommendations and elevates issues to management.
  • Track progress on projects and communicate with team members about issues that arise.
  • Assist with general inquiries from field staff.
  • Ensures accounting has necessary contract documents for project maintenance and payments.
  • Tracks and submits expense reports for management and field teams.
  • Prepare and distribute reports to management.
  • Organizes and monitors schedules to ensure deadlines are met.
  • Coordinates efforts within the team and with outside vendors efficiently.
  • Conducts general clerical duties as required (typing, filing, meetings, etc.). Prepare memos, forms, and letters as needed.
  • Files electronic and hard copy documents.
  • Submits and tracks business licenses.

WHAT WE’RE LOOKING FOR

  • High school or General Education Diploma
  • 3 years of project support experience
  • Intermediate proficiency in Microsoft Word, Excel, and Outlook
  • Intermediate proficiency in organization and prioritization
  • Intermediate proficiency in oral and written communication
