Essential functions (job duties):

Job Purpose 
Supervise the day to day activity of the Office of Records and Registration in the Medical School.  Oversee the recording of student information into the Banner system, maintaing database information specific to school of medicine enrollement and academic status and reporting same to our Promotions committee.  The Recorder sits on several school committes including the Administrative Education Committee which handles student issues related to enrollement status, policy decisions and academic success inititives.  This position reports to the Associate Dean for Undergraduate Medical Education.
Essential Functions
Manage the day to day operation of the office of Records and Registration.  Hire evaluate and discipline assigned support staff.  Assign and monitor workflow and make recommendations to improve efficiency.
Oversee the registration process in Banner. Coordinate the in-person registration of medical students. Scheduling registration, OneCard creation and student health insurance. 
Administer the enrollment verification process through the WSU clearinghouse.  Collect appropiate paperwork and enter into the system.
Maintain confidentiality and tracking of student files and records in compliance with University and federal guidelines.
Supervise the entry of student course grades into Banner and the preparation of transcripts.
Monitor course withdrawl process for compliance with tuition payments and financial aid requirements.
Certify students for graduation.  Order diplomas and coordinate distribution of same.
Coordinate student selection lotteries for year 3 and 4 required and elective courses.
Mantain student medical school e-mail addresses and administrative listservs, enroll students, faculty and administrators.
Administer American Association of Medical College's Student Record System to assure compliance with accreditation standards.
Certify students to sit for licensing examinations with the National Board of Medical Examiners using their USMLE website.
Serve  on school's promotions committee, prepare confidential information and files for meeting agenda.
Serve on the Administrative Educational Affairs committee.  Advise group on student status and policy issues related to curriculum activities.
Serve on the medical school's Student Health Insurance committee.  Responsible for premium payments, assuring student enrollement and maintaing all records for same.
Develop and maintain departmental website.
Manage departmental budget. Monitors and approve expenses.

Unique duties:

Manage registration and scheduling for all four years of the M.D. curriculum, including complex clinical clerkship and elective scheduling. Maintain and oversee the School of Medicine academic calendar. Manage student academic records in compliance with FERPA, LCME accreditation standards, and university policies. Process grades, grade changes, enrollment, and degree verifications, transcript requests, and USMLE applications. Administer the Visiting Student Learning Opportunities (VSLO) program for both Wayne State medical students participating in away rotations and visiting medical students completing electives at WSUSOM. Serve as the department's subject matter expert on medical student registration, academic records, curriculum requirements, student progression, and graduation requirements. Supervise two Program Project Assistant II staff members, providing leadership, training, workload management, and quality assurance. Collaborate with Student Affairs, Academic & Student Programs, Curriculum, Admissions, Financial Aid, Information Technology, clerkship coordinators, affiliated clinical sites, and faculty to support student success and ensure accurate academic administration. Lead departmental process improvement initiatives and support the implementation of new technologies and system enhancements.
