Executive Administrative Assistant

Sunlighten is seeking an experienced Executive Administrative Assistant to support the company’s five executives. This person would assist with professional projects, represent Sunlighten and the Executive team, coordinate events, and take care of day-to-day operations in the office. The ideal candidate is an energetic individual whom is flexible, organized, and able to multi-task.

Duties/Responsibilities:
- Manage the calendar for Sunlighten’s executives- schedule appointments, meetings, and make travel arrangements for executives and guests
- Represent the executive team and direct all general inquiries for the CEOs and other executives to the appropriate person
- Anticipate the executive teams needs and proactively provide support and assistance when necessary
- Act as a liaison between the executives and other departments, clients, and stakeholders
- Manage expenses and budgetary requirements for the executives department
- Quickly resolve any day-to-day issues that may occur
- Coordinate and manage communication channels, including email, phone calls, and messages on behalf of the executives
- Prepare executives/employees for meetings by preparing reports, and creating and editing presentation materials
- Organize and maintain general files and records and handle confidential information securely
- Provide general administrative and office support
- Assist with event planning and other activities for Sunlighten employees and guests
- Coordinate the scheduling of building maintenance requests, vendors, and construction activities for the current and new building, ensuring efficient service delivery, compliance with timelines, and optimal functionality
- Other duties or projects as assigned by executives
Requirements
- 5+ years’ experience in an administrative support role
- Bachelor’s degree highly preferred
- Proficient in Microsoft Office (Outlook, Excel, PowerPoint, Word)
- Ability to work independently without much director
- Excellent verbal and written communication skills
- Excellent organization skills
- Detail oriented
- Ability to handle confidential and sensitive materials and situations
