Overview
The Business Operations Assistant ensures the accuracy, propriety, and timeliness of all financial data and reports maintained and prepared for various teams, supporting over 12,000,000 square feet in 118 buildings with over 680 tenants. Daily interactions include communication with the Director, Business Operations, Senior Manager, Business Operations, Property Managers, Assistant Property Managers, Property Administrators, Engineering staff, vendors, tenants, and Corporate Accounting. Interface as needed with Territory Vice President, Directors, Associate Directors, Accounting Staff, Corporate Asset Management, and Lease Administration.
Responsibilities
Accounts Receivable:
- Closely monitor and maintain a list of delinquent tenant receivables and follow up with tenants and local property management teams.
- Update and prepare the AR watch list monthly.
- Update reports for tenants with past due balances over $50k.
- Prepare, review, and send tenant monthly rent invoices.
- Preparation of and distribution of demand letters to delinquent tenants.
- Contribute to the maintenance of positive tenant relations by professionally assisting with tenant questions relating to accounts receivable.
- Assist Senior Manager, Business Operations with the submission of early terminations, write-offs, miscellaneous tenant refunds, and security deposit refunds.
Accounts Payable:
- Assist the AP/AR team in resolving payable issues with vendors.
- Coordinate with Asset Services teams when assistance is needed.
Accounting:
- Assist with the review of monthly operating expense and capital accruals.
- Assist with preparation of budget submission and supporting analysis for presentation.
- Assist with the review and approval process of annual tenant escalation reconciliation and escrow packages and letters.
- Assist with the preparation of responses and coordination of backup for tenant-requested financial audits.
General:
- Maintain timeliness and integrity of all property financial information.
- Comply with company policies and procedures and demonstrate a high degree of accuracy and attention to detail.
- Assume additional responsibilities as delegated by Senior Business Operations Manager, Directors, Associate Directors, Property Managers, and Vice President.
- Act as a team member with all RMR employees, demonstrating initiative and leadership skills.
The base salary range for this position is $70,000-90,000 per year. This range may be adjusted based on the candidate's experience and qualifications. This information is provided to applicants in accordance with the California Equal Pay Act and Minnesota Equal Pay Act.
Qualifications
- Bachelor’s Degree in Accounting or related field.
- One to two years of experience in Commercial Real Estate or Property Management related position.
- Intermediate to Advanced proficiency with Microsoft Office (Excel, Word and Outlook) and other Windows applications.
- Strong Proficiency with Property Management/Accounting software (preferably Yardi and Argus).
- Exceptional verbal, written, and organizational skills.
- Ability to work in a fast-paced, collaborative, and results-driven environment.
- Strong work ethic and demonstrated history of reliable work record.
- Ability to keep information strictly confidential.
- Must be able to handle multiple projects and changing priorities.
- Must have strong customer service orientation, be a hard worker, be self-motivated, deadline sensitive, and be a team player.
- Computer and Communication skills assessment will be administered.
