Job Description

Washington Athletics has an outstanding opportunity for a Director of Women’s Soccer and Gymnastics Operation to join their team.

Key Responsibilities

Administrative Duties and Daily Operations 30%

  • Coordinate with various departments to align the program’s objectives with the university’s mission and values. 

  • Hire and supervise team managers and interns/hourly employees. 

  • Work with the equipment room and equipment vendors to monitor the program’s daily, weekly and annual needs.

  • Assist in the onboarding and offboarding of new staff members

  • Assist with coordination of department and University required trainings for student-athletes.

  • Help offboard departing players by coordinating with support staff for gear returns, facility access, exit meetings, and future communication plans.

  • Implement and maintain policies and procedures for office functions including visitors to practice and/or the facility, ICA event staff, security, advising these groups and others in regard to office  policies and procedures.

  • Maintain player database, subscriptions, program memberships, and associations.

  • Represent program at meetings with internal and external constituencies. 

  • Serve as the liaison for parents, donors, the UW community, and other collaborative entities.

  • Negotiate contracts for pre-season housing and meals with Housing and Food Service and some outside vendors.  Develop a plan for all pre-season and pre-game meals in collaboration with ICA nutrition staff.

  • Lead special projects and initiatives as directed by the head coach.

Team Travel 20%

  • Direct and manage all aspects of team travel in coordination with the Athletics Travel Unit including airline travel, charter buses, hotels, and other travel needs. 

  • Communicate with student athletes and Student Athlete Academic Services regarding travel schedule and communicate with professors regarding missed class time and exam conflicts. 

  • Travel to all road games and series to manage travel and equipment logistics as needed and in compliance with ICA travel policies.  Coordinate home and away facilities for game and practice sessions. 

  • Manage catering and team meals in coordination with the ICA Nutrition staff.

Budgeting and Logistics 20%

  • Responsible for annual budget forecasting and projections.

  • Manage and monitor the program’s annual operating budget including team travel, scholarships, housing, meals, parking, recruiting, travel, supplies, equipment, visiting recruits, awards and team banquets.  Monitor all program expenditures during the year.

  • Submit purchase requests to sport administrator for approval in alignment with ICA Business and Finance Office policies.

  • Process all purchase orders and vendor contracts.

  • Manage and reconcile team procurement credit card, receipts, reimbursements and expense reports in accordance with all mandated deadlines and ICA Business and Finance Office policies.

Fundraising and Alumni Relations 10%

    • Work with the Tyee Club to facilitate donor events and build strong alumni relations. Maintain and update the donor and alumni databases. 

    • Proactively communicate program milestones, high-visibility games, and major events marketing and communications staff in order to create activation opportunities.

    Compliance and Student Athlete Recruiting 10%

    • Assist with the day-to-day management of on and off-campus recruiting activities.

    • Support the coaching staff with recruiting paperwork and the coordination of program events.

    • Manage compliance functions such as roster management, participation records, and CARA logs.

    • Assist with recruiting by corresponding with the compliance office and individual recruits regarding on campus visits, and assist the recruiting coordinator on itineraries for both official and unofficial visits.

    • Provide incoming student athletes with information about admissions procedures and requirements. Serve as the program admissions liaison with compliance offices.  Interact regularly with incoming student athletes, their parents, their coaches, and their counselors to provide information during the admissions process. 

    Event/Game Scheduling and Operation 10%

    • Manage scheduling of facilities throughout the season for practice, competitions, and clinics, in compliance with NCAA practice and play policies. Create comprehensive team
