About the Role
The Senior Executive Assistant is a vital position whose main responsibility is to make the executive as productive as possible. This person must be a highly polished professional with excellent interpersonal skills and a sense of urgency to get things done. This role will interact with all levels of employees and all departments in various situations and must be courteous and respectful to all. The position will provide administrative support to the team in our organization, who will require general administrative assistance as well as analysis, reporting, and tracking of various events and activities.
Responsibilities
- Maintain executive’s calendar and resolving any scheduling conflicts
- Manage executive’s travel arrangements, both international and domestic, including sometimes on extremely short notice
- Take detailed phone messages, in-person requests, etc., and relaying them in a timely manner
- Manage confidential and time-sensitive internal and external communications
- Compose clear written communications from ideas and concepts as articulated by the executive
- Analyze and process critical and confidential information for input into Excel spreadsheets, PowerPoint presentations, SharePoint, etc.
- Conduct preliminary research and analysis to support executive’s decision-making
- Other similar Senior Assistant activities including catering, ordering office supplies (Ariba Procurement module), site items, etc.
Requirements
- 5-10 years of experience as an Administrative Assistant at the Executive level (VP or above) with intellectual curiosity and drive; Associates or Bachelor’s degree a plus
- Experience in a large and global company is highly desired
- Experience with Microsoft Office, Travel and Expense processing (Concur), and Calendar scheduling is required; Affinity for Technology and automation is a plus
- Ability to prioritize while working both independently and collaboratively is critical
- Must be proficient in Excel and be able to create and work with spreadsheets (create basic formulas, input data, etc.)
- Must be proficient in PowerPoint and be able to create presentations, create and update slides, import spreadsheets, pie charts, images, etc. for executive meetings
- Must be a self-starter, possess proven ability to work effectively at the most senior level within an organization, have excellent customer service skills, and be able to deal effectively with confidential information
For positions based in New York, the base salary range is $92,000 - $116,000. In addition, the position is eligible for a bonus in accordance with the terms of the applicable incentive plan.
