JOB SUMMARY/ESSENTIAL JOB FUNCTIONS: The Medical Administrative Specialist 1 provides support to students, full-time and part- time faculty, the dental hygienist, and the dental clinic director. This position performs various administrative and receptionist duties necessary to ensure the effective and efficient day-to-day operation of the clinic for the department. This position provides administrative, laboratory, and Axium support to the Clinical Coordinator, Clinical dental hygiene faculty members, and students. This position will also serve as backup for the Medical Administrative Specialists who schedule for the graduate programs.

  1. Enlists patients, creates new patient records, and maintains patients’ treatment consent forms in axiUm. 
  2. Enters and updates personal and clinical information, makes passport style photographs, scans ID cards and acquires signatures on Notice of Privacy Protection.
  3. Secures patient records for HIPAA. Updates patient personal, financial, and/or medical information as needed. 
  4. Manages dental hygiene electronic appointment book. Assigns student clinicians to scheduled patients.
  5. Manages dental hygiene recall system.
  6. Schedules and confirms patient appointments. Trains students in making appointments and interactions with screening patients.
  7. Secures cash and control tickets.
  8. Assists with the rotation schedule. Maintains faculty clinic coverage schedule and calendar.
  9. Manages clinic manual updates on Blackboard.
  10. Enter student grades. Tracks and enters dental hygiene student competency.
  11. Monitors the floors during SRTA testing time. Assists students in screening patients for SRTA requirements (patient’s approval). Assist students with SRTA paperwork and instrument setup. 
  12. Performs other duties as assigned. 

MINIMUM REQUIREMENTS:  

EDUCATION: High School Diploma or GED. (TRANSCRIPT REQUIRED)

EXPERIENCE: Two (2) years of experience in a medical or dental office/facility with responsibility for scheduling and patient accounts management. 

LICENSE/CERTIFICATIONCertified Medical Coder (CMC) preferred.

KNOWLEDGE, SKILLS, AND ABILITIES:

  • Knowledge of dental procedures to aid in appropriate and timely scheduling is preferred.
  • Knowledge of patient codes and billing preferred. 
  • Must have excellent and adaptable computer skills, multi-line telephone management skills, and patient service/management skills. 
  • Management of patient flow and patient accounting is essential. 
  • The capacity to operate independently is essential. 
  • Ability to adapt and modify standard protocol when conditions dictate is essential.
  • Knowledge of and experience with electronic medical records preferred.
