Job Description
The community is looking to expand their stellar administrative team with an Administrative Assistant based in NYC.
We are seeking a candidate with a strong administrative management background, who is able to anticipate needs, proactively shift calendars, manage last minute changes, and is able to tackle any challenge with a calming ease.
Given the nature of working in a fast paced environment, this person will need to keep an eye on correspondence outside typical work hours to manage schedules/meetings and troubleshoot any challenges that may arise on a case-by-case basis.
Responsibilities:
- Work closely with the NY Office Manager and other Administrative team members on tasks needed.
- Manage and maintain calendar schedule; monitoring, updating, and prioritizing utilizing good judgment and strong decision-making skills to resolve conflicts.
- Manage travel arrangements including flights, hotels, and ground transportation.
- Submit expenses and weekly timesheets on behalf of executives.
- Execute basic project management duties to ensure stuff is happening on time with the necessary lead time.
- Manage upcoming meeting visibility with the broader leadership team at the end of the week.
- Develop, review, and edit regular and confidential correspondence, presentations, and reports.
- Demonstrate confidentiality when handling sensitive information and matters.
Qualifications
- 2+ years Administrative support experience.
- Experience within the advertising or creative industry.
- Fluent English oral and written communication skills. Spanish language skills a plus
- Experience working in a fast-paced environment.
- Confident in ability to work independently, take initiative, and work effectively under pressure.
- Expert calendar maintenance experience working with virtual links, large invite lists, and strong attention to details.
- Experience working in Slack, Google Docs, Google Slides, and Outlook preferred.
Additional Information
Compensation Range: $46,500 - $68,500 annually. This is the pay range the Company believes it will pay for this position at the time of this posting. Consistent with applicable law, compensation will be determined based on the skills, qualifications, and experience of the applicant along with the requirements of the position, and the Company reserves the right to modify this pay range at any time. For this role, the Company will offer medical coverage, dental, vision, disability, 401k, and paid time off.
