Regional Crawler Administrative Assistant

Purpose
Assists the Regional Crawler Manager to thoroughly document all aspects of work performed on company owned and operated Crawler Cranes and Support Vehicles.
Duties and Responsibilities
- Assists the Regional Crawler Manager with all aspects of Central Crawler department - including communicating schedules with A/D Directors, Riggers, and Mechanics, ensuring paperwork is complete and accurate for JDS numbers, work orders and machine documentation, and maintaining vendor and crane files.
- Labels and stages parts and materials for Assembly/Disassembly operations, repairs and maintenance once received at the branch.
- Orders supplies and PPE for A/D Directors, Riggers, and Mechanics and technicians from Safety and Service as needed and approved by Regional Crawler Manager.
- Communicates with vendors via phone and email regarding shipments and orders.
- Opens and maintains Pre/Post activity summaries and Assembly/Disassembly JSA and ON/OFF Rent Inspection Forms in the Samsara, OneDrive, and JCD systems.
- Completes daily updates to Crawler Crane bars in Job Cost Dispatch to maintain accuracy in ordering, receiving, usage and adjustments to equipment inventory and job status.
- Help maintain office order and cleanliness.
- Collects time sheets and billing tickets from A/D and Riggers and check for accuracy before submitting them to payroll and billing departments.
- Performs other duties as assigned or required.
Requirements
Education:
- High School Diploma or GED
Experience:
- 1+ years’ experience in parts and service in a similar industry such as Crane Rental, equipment rental, auto parts service, etc. is a strong advantage
- 1+ years’ experience with Microsoft Word and Excel
- 1+ years’ experience using a CMMS system
Skills/Knowledge:
- Advanced organizational, time management, and communication skills
- Moderate computer skills and knowledge of CMMS systems and Microsoft Word and Excel spreadsheets
- Moderate ability to build strategic working relationships
- Advanced problem-solving skills and attention to details
- Moderate level ability to read, comprehend, and create instructions, short correspondence and memos.
- Moderate level ability to present information in one-on-one and small group situations to other employees.

The employee may occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, color vision, peripheral vision and depth perception.
Work Environment:
The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job. While performing the duties of this job, while primarily an office type position, the employee is regularly exposed to outside weather conditions. The employee is frequently exposed to moving mechanical parts.
