The Endocrinology and Diabetes division of Pediatrics is seeking a full time Administrative Manager. Under the direction of the Division Director and department Associate Administrator, the successful candidate will be responsible for the fiscal, administrative, and operational management of the Division of Pediatric Endocrine. This includes strategic planning, development and management of budgets, grants, management of all clinical operations, oversight of clinical practice billing, personnel management, supporting outreach programs as well as affiliate programs, and supporting the research endeavors of the division. The successful candidate will interact with faculty and administration within the Johns Hopkins Medical Institutions, and with local and national organizations.
Specific Duties & Responsibilities
- Participate in all clinical contract negotiations with department administration.
- Interact specifically with the administrator, including responding to RFAs, and affiliations agreements.
- Monitor invoicing, payments and compliance with contracts.
- Participate in marketing and outreach meetings with faculty, departmental administration and institutional representatives.
- Assist in the development of promotion of the programs.
- Develop and coordinate regional sites with faculty and departmental administration, including site selection, financial analysis, start up, and establish procedures for billing, scheduling and reporting.
- Prepare ad hoc business plans for future growth and new programs.
- Identify, develop and coordinate with the Offices of Development and External Affairs, divisional fundraising and public relations programs.
- Project and develop divisional budget with input from the division chief, faculty and departmental administration in accordance with departmental standards.
- Participate in all budget meetings and respond to requests for information and data in an efficient manner.
- Manage grant, gift and clinical practice budgets, assuring that budget changes, new funds and ending grants are allocated and monitored.
- Perform monthly and annual reconciliation of all division budgets and funds in a timely manner.
- Manage day to day financial responsibilities, such as preparation and authorization of purchase requests, expenses, reviewing travel expenses reports and depositing checks.
- Prepare budget changes, expenditure transfers and act as custodian of petty cash account.
- Complete payroll forms and manage funding allocation for faculty and staff.
- Hire, supervise and discipline all administrative support staff.
- Work with Division Director and faculty to assure that staffing is adequate, and that support staff are working together in an efficient and team-oriented manner.
- Responsible for implementing and following JHU and departmental policies and procedures in the division.
- Orient and train new staff members.
Additional Knowledge, Skills, & Abilities
- Work independently and possess the mature judgment to effectively relate to peers, faculty and the people he/she manages.
- Prioritize multiple tasks in tandem, while working with a variety of people.
- Outstanding oral and written communication skills are required.
- Background in financial work, including spreadsheet development and analysis.
- Supervisory experience and be able to provide guidance and opportunities to staff for development and advancement.
Minimum Qualifications
- Bachelor's Degree in Business, Finance, Accounting or other related field.
- Five years progressively responsible professional-level administrative or financial experience related to monetary or non-monetary resources of a department, center or unit.
- Master's degree in a related field may substitute for required experience and additional experience may substitute for education, to the extent permitted by the JHU equivalency formula.

Starting Salary Range: Min $62,300 - Max $109,000 Annually ($80,000 targeted; Commensurate with experience)
