About the role

The Administrative Secretary II provides clerical and general office support involving telephone and in-person reception in a clinical research area and assists with scheduling of research participants, record/file maintenance, and other operational tasks as requested.

  • Provide administrative support to research team, including, but not limited to, greeting research subjects and visitors at check-in/out, organizing research-related paperwork, preparing patient rooms for protocols, and ensuring proper labelling and organization of clinical trial supplies.
  • Responsible for scheduling research subject follow-up appointments and weekly/monthly sending reminders to participants
  • Maintain shared calendars for room reservations, appointments, etc.
  • Screen telephone calls, answer routine inquiries or refers caller to the appropriate individual for response.
  • May prepare minutes of meetings, agendas, correspondence, statistical reports, tables and other documents and transcribes dictation as needed.
  • May review and revise brochures, announcements, or other informational items regarding research program operations.
  • Prepare and process check requests, purchase orders, travel requests and travel reimbursement for research faculty/staff.
  • Opens, sorts, and prioritizes mail. Picks up and delivers materials as required.
  • Maintains records through filing, retrieval, retention, storage, coding, updating and destruction.
  • Types correspondence, memos, reports, minutes and other documents from dictation or handwritten copy and may compose routine correspondence and memoranda.  Proofreads typed materials and makes corrections, as needed.
  • Responds to research subjects’ inquiries for information according to established policies.
  • Perform other special projects or other research and/or administrative duties as requested.
  • Associate degree or high school diploma/GED plus two years of related experience
  • 2+ years clerical/secretarial experience required.
  • Spanish bilingual desired

 

Compensation Statement

 

The Mount Sinai Health System (MSHS) provides a salary range to comply with the New York City Law on Salary Transparency in Job Advertisements. The salary range for this role is $23.01 - $28.78 Hourly. Actual salaries depend on a variety of factors, including experience, education, and hospital need. The salary range or contractual rate listed does not include bonuses/incentive, differential pay or other forms of compensation or benefits.
