The Role:
This is an exciting opportunity for an experienced Sr. Administrative Assistant to join the team . The Sr. Administrative Assistant will provide high-level support to the executives as well as have office management responsibilities. The ideal candidate will leverage a broad range of skills including a high degree of professionalism and discretion when handling a wide variety of responsibilities. The successful candidate will be a detail-oriented, critical thinker with strong organizational and interpersonal skills. Requires the ability to proactively build organizational knowledge and relationships and thrive in a fast-paced, entrepreneurial environment. This is an office-based role (work from office 3 days a week) at our Cambridge, MA location.
Key Responsibilities:
Administrative Support
- Coordination of the executive’s calendar for work related to the operational day-to-day activities of an ever changing, venture creation firm.
- Email management as required by the executive
- Responsible for proactively coordinating meetings and managing internal and external communications.
- Coordinate worldwide travel plans including expense reporting and reimbursement.
- Provide program support for collaborations within Pioneering Medicines
- Proactively collaborate with other administrative staff members in collaboration and coordination of calendars, requests, and events. Provide back-up coverage to other EA’s as necessary
- Coordinate in-office events (lunch & learns, happy hours, special lunches, celebrations, etc)
- Help to coordinate offsite events
Office Management
- Order snacks, beverages, etc and ensuring the kitchen area is well stocked
- Manage PM seating, lab space and conference rooms, leveraging Office Space app
- Order and manage office supplies
- Receive lunches on days in office
- Contact IT, facilities, etc as needed for OCP concerns
- Communicate with PM Team regarding facilities issues/updates
- Work with IT to manager office info boards and partner with PM planning team to determine content
- Work with building security and facilities to provide badge access to new employees
- Work with the shipping and receiving team as needed
Requirements:
- 5+ years of administrative experience
- Exceptional organization skills, with keen attention to detail and a strong ability execute
- Demonstrated ability to handle sensitive information and situations with care and confidence
- Ability to work across various roles and teams in a dynamic, demanding, and fast-paced environment while remaining flexible, proactive, resourceful, and efficient
- Excellent interpersonal and relationship-building skills; outstanding verbal and written communication skills
- Strong work ethic and ability to manage multiple priorities
- Proficient in MS Office
- Office-based role (expectation is to be in the office 3-4 days a week)
- High level of commitment, availability after hours and on weekends, as needed
