Job Summary
The Senior Administrative Assistant to the Dean of Nursing independently performs a wide range of complex and confidential administrative and clerical support duties. This role requires excellent communication and interpersonal skills and involves interacting with a wide range of internal and external stakeholders. The position provides high-level support to the Dean of Nursing and additional administrative assistance to the Associate Dean of Academic Affairs, Department Chairs, DNP Program Director, and Clinical Directors. This position requires knowledge of university and departmental policies and supports the philosophies and policies of Frontier Nursing University (FNU).
Duties and Responsibilities
- Provide comprehensive administrative support to the Dean of Nursing and serve as a liaison for the Dean’s communications and calendar management.
- Provide comprehensive administrative support to the Dean of Nursing, including coordination and execution of special projects initiated by the Dean.
- Provide comprehensive administrative assistance to the Dean of Nursing in support of grant-related initiatives.
- Schedule meetings, prepare agendas, take minutes, and ensure follow-up for meetings requested by the Dean of Nursing.
- Support the Associate Dean of Academic Affairs, Department Chairs, DNP Program Director, and Clinical Directors with administrative tasks.
- Provide supervision and guidance to administrative staff within the Dean of Nursing’s unit, as needed.
- Coordinate logistics for in-person and virtual meetings, retreats, and other events.
- Arrange travel and accommodations; manage itineraries and associated correspondence.
- Organize, maintain, and manage files and documentation; perform photocopying, faxing, and document collation.
- Answer phone inquiries, route calls appropriately, and provide general University information.
- Respond promptly and professionally to information requests from students, staff, faculty, and external contacts.
- Assist faculty, staff, and external constituents as directed.
- Serve as a backup for the Administrative Assistant to the Dean of Student Success when needed.
- Provide service to the University through activities such as involvement in FNU shared governance (e.g. committees, workgroups), FNU-sponsored activities (e.g. charity drives, community-outreach activities), and/or professional scholarship or service to the profession (e.g. conference presentations, professional organization committee work).
- Demonstrate alignment with FNU’s “Culture of Caring” in all interactions and responsibilities.
- Perform other duties as assigned.
Required Skills and Abilities
- Proficiency with multiple technical applications including Microsoft Office (Word, Excel, PowerPoint), database management, presentation tools, email, and internet navigation.
- Strong communication skills with the ability to respond clearly and efficiently to internal and external inquiries.
- Excellent organizational skills and ability to prioritize tasks proactively.
- Ability to work independently with creativity and initiative.
- Maintain discretion and confidentiality at all times.
- Capable of contributing positively in a team-oriented environment.
- Ability to lift up to 40 pounds.
Education and Experience
- Bachelor’s degree preferred; associate’s degree will be considered.
- Minimum of five (5) years of experience as an Administrative Assistant or similar administrative support role.
Reporting Relationship
- Reports directly to the Dean of Nursing.
