Events Logistics Coordinator - (part-time/28 hrs per week)

The Events Logistics Coordinator ensures events run smoothly by managing all behind-the-scenes planning, coordination, and execution. This role focuses on the operational details that turn an event from a calendar booking into a well-organized, professional experience. The coordinator works closely with internal teams and external partners to ensure spaces, resources, and services are aligned before, during, and after each event.

What you will be doing in this position

Event Planning & Logistics

  • Plan and manage event logistics from pre-event preparation through day-of execution and post-event follow-up
  • Coordinate space scheduling, room setups, and event timelines
  • Arrange furniture layouts, equipment, and required resources
  • Communicate setup and breakdown requirements to custodial, facilities, A/V, catering, and security teams
  • Ensure all events comply with venue policies, safety standards, and capacity limits

Coordination & Communication

  • Serve as the primary point of contact for event logistics with internal teams and external partners
  • Translate event requirements into clear, actionable instructions for operational and support teams
  • Collaborate with event planners to confirm details such as headcounts, room layouts, and special requests
  • Respond to changes and troubleshoot issues efficiently and discreetly

Administrative & Systems Support

  • Maintain accurate event schedules, records, and documentation
  • Manage contracts, invoices, and event-related billing
  • Update event management systems, calendars, and internal tools
  • Track resource usage and identify scheduling conflicts or operational risks

Event-Day Operations

  • Oversee logistics during events without serving as the primary host
  • Monitor timelines, room readiness, and vendor performance
  • Act as the on-site problem solver for operational issues
  • Coordinate post-event breakdown and reset of spaces

What qualifies you for this role

Minimum education/experience required:

  

2 years of event management experience in a professional setting

Preferred:

3 years of event management experience working with VIP events, undergraduate degree in related field, and experience in events management.

Required Skills & Competencies:

  • Strong organizational skills with exceptional attention to detail
  • Ability to manage multiple events and competing priorities simultaneously
  • Clear, professional written and verbal communication
  • Comfort working in a behind-the-scenes, operational role
  • Calm, solutions-focused approach in fast-paced environments

Pay Grade: 49

Typical Starting Pay: $22.50-$29.25
