Description

Essential Duties & Responsibilities:

  • Update applicable records always ensuring survey accreditation readiness. Contact employees (and their supervisors) to ensure compliance by requesting documents.
  • Meet, greet, and provide professional assistance to customers.
  • Receives telephone calls and visitors.  Responds to requests for information concerning program functions.
  • Serve as department primary point of contact for employees and visitors.
  • Coordinates a variety of administrative clerical support activities in order to facilitate and expedite the administrative and clerical priorities of the office.
  • Responsible to update the employee census, compliance spreadsheet, HealthStream data, etc.)
  • Assist with New Hire Orientation by taking lead in organizing, sending out agenda and notices, contacting presenters.
  • Responsible for on-boarding: Prepare various documents related to new hires (PAF, separations, forms, orientation, meetings, etc.)
  • Prepare employee hiring and separation packet.
  • Receive and log-in employment applications and documents for applicants on day or receipt
  • Ensure all required documents are on file (application, identification information,  

     certification/degree, job description, and other documents as listed on the document checklist)

  • Process company identification badge.
  • Create, repair, and maintain personnel files and ensure department filing system in an accurate manner.
  • Responsible for department purchases. Reconciles requisitions/purchases orders and reports for submission to purchasing department.
  • Process payment claim vouchers and purchase orders.
  • Prepares related reports and submits travel vouchers including accurate computation of all costs of reimbursable expenses and per diem.
  • Keep supervisor updated on pending assignments and tasks daily.
  • Takes and compiles and prepare meeting minutes for the department.
  • Compiles monthly schedules and makes preliminary arrangements for conferences.
  • Attend in-services, meetings, and training programs as required.
  • Performs other duties as assigned.

Qualifications

Minimum Qualifications:

  • High School Diploma or General Equivalency Diploma.
  • One (1) year progressive work experience in administrative/clerical support.
  • Must be able to successfully pass the Employee Health Program requirements and background investigation.

 

Knowledge, Abilities, Skills, and Certifications:

  • Knowledge of federal, state and local employment practices.
  • Knowledge of business English, proper spelling, grammar, punctuation, and mathematics.
  • Knowledge of company personnel policies and procedures
  • Knowledge of modern office practices, time management and procedures, including business corresponden
