POSITION SUMMARY:
The Executive Assistant/Chief of Staff (EA/CoS) provides high-level administrative support and strategic operational leadership to President. This role serves as a critical liaison between the President and internal and external stakeholders, manages institutional priorities, and ensures efficient and effective execution of presidential initiatives. The EA/CoS oversees the daily operations of the President’s Office, provides project management support, and helps ensure alignment between strategic goals and institutional execution. This role requires exceptional organizational, communication and leadership skills and a high level of attention to detail. Diplomatic ability and discretion is required.
 

ESSENTIAL FUNCTIONS:

The employee must be able to perform the essential functions of the position as follows:

  • Executive-level administrative and strategic support to the President – 25%
    Manage complex calendars (President and Administration Building), correspondence, travel, and briefing materials. Prioritize and coordinate the President's responsibilities to ensure timely and effective decision-making. Triage issues to appropriate units for efficient, effective response and to keep them off President’s desk.

  • Project management and institutional coordination – 25%
    Lead and support cross-functional projects, ensuring alignment with strategic goals.

  • Office management and team leadership – 20%
    Supervise Administrative Assistant, manage budgets and office logistics, and ensure the office operates efficiently and professionally.

  • Cabinet coordination
    Facilitate communication and coordination among Cabinet members to ensure alignment on priorities and timelines.
    Prepare agendas, take action notes and follow up on next steps, as needed.
    Plan annual Cabinet retreat.

  • Board of Trustees support
    Work with Office of the General Counsel and Advancement to support efficient operations between the President, Board Chair and Board members and ensure effective communication and governance.

  • Presidential Initiative Tracking & Reporting
    Maintain records in Blackbaud Razor’s Edge of Presidential interactions with Board members, donors and prospects.

NON-ESSENTIAL FUNCTIONS/OTHER DUTIES AND ASSIGNMENTS: Other duties as assigned.

  • Participate in special committees or task forces (i.e. 75th Anniversary).

  • Assist with event planning for Presidential and high-profile campus events (i.e. Commencement and VIP visits).

  • Assist with management of the President’s house, a University-owned building.
