The Florida Department of Health (DOH) is responsible for the health and safety of all citizens and visitors to the state. As a public health agency, the Florida Department of Health must monitor the health status of Floridians, diagnose, and investigate health problems, and mobilize local communities to address health-related issues. The Florida Department of Health develops policies and plans that support health goals, enforce laws and regulations that protect the health of all residents and visitors, and link people to needed health care services. The Florida Department of Health also provides specialized assistance to pregnant women, infants, and children with special health care needs, regulates health care practitioners, and provides medical disability determinations.
Title of Position: Administrative Assistant I
This position supports the WIC Call Center as well as the WIC Clinics.
Your Specific Responsibilities:
- Answers phone calls received in the Hillsborough County WIC Phone System.
- Uses the FL-WiSE system to schedule the correct appointment type(s) at available clinic location.
- Obtains information, reviews records and schedules client as appropriate.
- Inputs appropriate notes, alerts and scans documents into the FL-WiSE system.
- Answers client questions and provides information regarding the Florida WIC program in Hillsborough County.
- Addresses client concerns and refers to appropriate personnel.
- Validates Verification of Certification information.
- Assists with handling correspondence from external agencies, including transfer requests from and to out of State agencies.
- Terminates clients in FL-WiSE, faxes VOC information, logs all transactions.
- May contact out of State agencies to obtain client certification information.
- Communicates all necessary FL WIC requirements/needs with clients.
- Understands program policies and assists coworkers with questions.
- Determines program eligibility and inputs accurate client data into the FL-WiSE system.
- Provides voter registration information to clients and assists with completing the voter registration form.
- Inputs appropriate notes, alerts and scans documents into the FL-WiSE system.
- Follows policies and procedures to include issuance of the Verification of Certification (VOC) card, EBT cards, benefits, shopping list, and direct distribution of formula.
- Provides an interactive second nutrition education contact per guidelines.
- Completes and submits time in Employee Activity Record System (EARS), travel, timesheets, assignments and reports in accordance with established agency and division guidelines.
- Email communication must be maintained daily.
- Communicates with courtesy, respect, and understanding when dealing with clients, the public and staff.
