Your Specific Responsibilities:
Job Description
In this position, you will serve as the Administrative Assistant II, assisting administration with personnel functions by working with Lead Human Resources office in Tallahassee.
Some of the job duties that you will perform include:
*Assists supervisors with Classification actions, creating and coordinating necessary paperwork and approvals.
*Monitors and evaluates vacant positions and recruitment efforts to ensure the maximum number of qualified candidates and minimum number of vacancies. Monitors and evaluates causes of vacant positions for retention purposes.
*Maintains and keeps current Rate information including on-line Rate Administration System database and internal data, current and upcoming vacant positions, and at-risk for abolishment.
*Creates security access badges for employees, vendors, volunteers, interns, and others, manages and updates security databases and security system as necessary.
*Maintain interior door access controls including keys, Sonitrol, key codes, etc. Provides backup to access for secure rooms, including creating/updating access levels, documentation, etc.
*Maintains knowledge of and stays current on leave and attendance policies and procedures, rules and regulations, providing guidance to employees and supervisors.
*Provides backup for and stays current on recruitment processes.
*Works with employees and supervisors to provide requested documentation to HR, Monitors and approves HR tickets.
*Schedules and performs fingerprinting for background checks for current employees, candidates for employment, or others as needed. Initiates drug testing process when applicable.
*Backup for all security-related service agreements. Make recommendations and collects cost data on projects and anticipated replacement schedules for existing security systems.
*Provides backup for routine purchasing of materials, supplies and services
*May be required to work before, during and/or beyond normal work hours or days in the event of an emergency. Emergency duty required of the incumbent includes working in special needs or Red Cross shelters, or performing other emergency duties including, but not limited to, responses to or threats involving any disaster or threat of disaster, man-made or natural.
Required Knowledge, Skills, and Abilities:
Ability to work independently
Ability to understand and apply applicable rules, regulations, policies and procedures relating to personnel program functions.
Ability to communicate effectively, verbally and in writing.
Ability to plan, organize and coordinate work assignments
Qualifications:
Minimum -
Must be willing to physically come in the office to perform the duties & responsibilities of the positions
Must have current authorization to work in the United States without employer sponsorship
Must have at least 2 years working in a professional office setting
Preferred -
Knowledge of one or more personnel program functions, such as Selection, Classification and Pay, Employee Benefits, Labor Relations, Employer/Employee Relations or Training.
