About the role
Essential Functions: In addition to working as prescribed in our Performance Factors specific responsibilities of this role include:
- Serve as the primary point of contact between executives and internal/external stakeholders, maintaining professionalism and confidentiality.
- Manage and optimize executives’ calendars, coordinating schedules and resolving conflicts.
- Proactively anticipate executives’ needs by preparing materials, gathering insights, and ensuring readiness for meetings and events.
- Create polished agendas, reports, presentations, and other documentation for internal and external communications.
- Take accurate and concise meeting notes or summaries, organizing them for easy reference and future action.
- Conduct thorough research to support executive decision-making and streamline workflows.
- Foster internal communication by coordinating presentations and distributing critical updates.
- Acting as gatekeeper for TruBridge executives
- Acting as the point of contact for executives, employees, clients and other external partners
- Managing information flow in a timely and accurate manner
- Managing executives’ calendars and set up meetings, both internally and externally
- Format information for internal and external communication –meeting agendas, memos, emails, presentations, flow charts, reports
- Take minutes during meetings and catalog for easy future reference/ or gathering data from meeting stakeholders including a synopsis
- Conduct research and prepare reports on various topics for meetings
- Facilitate internal communication (e.g. distribute information and schedule presentations)
Minimum Requirements:
Education/Experience/Certification Requirements
- Bachelor’s degree or equivalent combination of education and relevant experience
- 2 to 4 years of experience supporting multiple executives
- Strong technical proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and virtual collaboration tools (e.g., Zoom, Teams, Slack).
- Exceptional organizational skills, with the ability to multitask, prioritize, and adapt in a dynamic environment.
- Professional demeanor with strong written and verbal communication skills.
- High level of discretion and confidentiality in handling sensitive information.
- Proactive problem-solver who takes initiative and thrives in a remote work environment.
- Excellent communication (written and oral) and interpersonal skills.
- Strong organizational, multitasking, and time management skills.
- Must be detail oriented and able to follow through on issues to resolution.
- Must be able to act both independently and as a team member.
- Ability to show confidence on the phone with internal and external customers
- Familiarity with multiple applications
- Active and attentive listening skills – be agile
- Ability to receive and apply feedback, particularly related to quality
- Ability to display a friendly, calm and professional demeanor at all times, even under times of high stress
- Exhibit leadership qualities (assist with customer issues, provide constructive feedback)
- Has advanced technical and system knowledge
