About the role

Summary

The Senior Coordinator, Business Operations serves as a key contributor to the financial and operational effectiveness of the department. This role ensures the integrity and efficiency of business processes by validating and processing a wide range of financial transactions, monitoring procurement activity, and supporting budget reconciliation efforts. The Senior Coordinator partners closely with departmental leadership and internal stakeholders to provide clear communication, timely updates, and high‑quality administrative support. Additionally, this position plays an integral role in coordinating department meetings, events, and special initiatives, while maintaining strict adherence to institutional policies, budget guidelines, and contractual obligations. Other duties may be assigned to support the evolving needs of the department.

Job Duties

  • Evaluates financial transaction requests for validity, accuracy, budget, need, and compliance before submitting them to the budget authority for approval.
  • Submits shopping carts and track them through the purchase order process. 
  • Processes journal entries across different Department/Divisions
  • Supports the reconciliation of department(s) budget by ensuring the accuracy of expense requisitions, purchase orders, and invoices; ensure compliance with business contracts. 
  • Communicates with department leadership and requestors on the status of actions. 
  • Provides support for department meetings, events, retreats, and other functions. 
  • Analyzes and performs cost distributions in PEPT; ensure cost centers and effective dates are appropriate and accurate.
  • Creates journal entries to reallocate budget/move expenses/or transfer budget from between cost centers.
  • Monitors financial activity by compiling, reviewing, and reconciling financial accounts, and prepare reports for financial and business oversight purposes.
  • Pre- and Post-review effort certifications in the Effort Reporting System (ERS). 
  • Requests phones for personnel and verify active users.
  • Interacts with vendors for lease or contracts.
  • Works with Accounting/Budget department for FAB issues.
  • Performs other job-related duties as assigned.

Minimum Qualifications

  • High School diploma or GED.
  • Four years of relevant experience.

Preferred Qualifications

  • Knowledge of Excel and Microsoft Word.
