Summary

Willkie Farr & Gallagher LLP is looking for a Human Resources Specialist to support the Human Resources department based in our San Francisco, Los Angeles, or the New York Office. Willkie is an elite international law firm of approximately 1,200 lawyers located in 15 offices in six countries.

 

The Human Resources Specialist will work be responsible for recruiting, on-boarding, employee relations, performance management, training and off-boarding. This role would work closely with department heads and members of the HR team on talent management initiatives. The successful candidate will have prior full cycle recruiting experience, and an understanding of HR procedures and relevant employment laws.

Responsibilities

 

  • Manage the recruiting process from job intake to hire. Work closely with Department Heads and Hiring Managers to create job descriptions, source resumes, conduct pre-screening interviews, schedule interviews and extend offers. Maintain data in iCIMS.
  • Work closely with the CHRO and Department Heads to identify departmental staffing needs and address staffing requests. Manage communication with relevant stakeholders.
  • Establish fee agreements, review and negotiate contracts and maintain good working relationships with all recruiting agencies. Leverage technology to source candidates.
  • Maintain employment records including change of status, promotions and off-boarding. 
  • Work with the HR Coordinator, IT and other departments to ensure new hires have a smooth onboarding experience.
  • Develop and maintain positive working relationships with employees. Respond to employees’ queries and resolve issues in a timely and professional manner.
  • Provide support to Directors, Managers and Supervisors on employee performance matters.  Ensure compliance with Firm policy and Federal and State labor laws. Work with management to resolve employee issues.
  • Partner with and provide support to managers regarding setting expectations, monitoring, and coaching employee performance.  
  • Coach and mentor employees as appropriate to support development opportunities and encourage internal promotion.
  • Identify training and development opportunities for staff and management through internal and external sources.
  • Conduct exit interviews and provide data as needed to stakeholders to improve employee experience.
  • Perform other duties as assigned.

Qualifications

  • Bachelor’s degree in Human Resources, Business Administration or related field required.
  • Two to three years’ experience with full-cycle recruitment and an understanding of HR best practices and employment laws required.
  • Prior experience supporting the performance management process and other HR functions preferred.  Experience with Excel, UKG and ICIMs is helpful.  
  • Excellent interpersonal and communication skills, with the ability to build relationships at all levels of the organization.
  • Strong problem-solving and decision-making skills.
  • Ability to work independently and apart of the team.

  • Ability to sit at a desk most of the working day and walk short distances
  • Needs manual dexterity, speed and accuracy in handling office equipment
  • Ability to work efficiently and accurately in an atmosphere of frequent interruption
  • Ability to work in close proximity to other individuals
  • Ability to carry light to moderate objects, e.g., files, small objects and supplies a short distance
  • Must be able to lift, carry and move objects up to 15lbs.

Pay Range

USD $90,000.00 - USD $110,000.00 /Yr.

Pay Range Statement

The salary range for this role represents the Firm’s good faith and reasonable estimate of the range of possible compensation at the time of posting. Actual compensation will be dependent upon a number of factors, including but not limited to, the candidate’s relevant experience, qualifications and location.
