Axogen Mission and Business Purpose

Job Summary of the Medical Communications Systems Coordinator

The Medical Communications System Coordinator will serve as the central coordinator and process lead for all Medical Communications processes. This position will be the Medical Affairs team expert for our Medical Communications software who will lead the implementation and process development for our Medical Information/Medical Communications systems. This role will also be responsible for managing key aspects of the Medical Affairs department’s surgeon engagements, Medical Affairs departmental operations, and overseeing other projects as assigned.

Requirements of the Medical Communications Systems Coordinator

  • Bachelor’s Degree (Life Sciences discipline and/or in a related field preferred)
  • Proficiency in Outlook, Word, Excel and PowerPoint and aptitude to learn new software as required
  • Strong project management skills
  • Experience and proficiency in managing multiple projects with various internal and external stakeholders
  • Interpersonal skills with capability to impact and influence internal and external stakeholders.
  • Ability to think strategically, work collaboratively, and communicate effectively across all functions
  • Flexibility and the ability to develop creative approaches to accomplish work and problem- solve
  • Strong organizational and communication skills, both written and verbal
  • Strong attention to detail and the ability to multi-task in a fast-paced environment
  • Positive attitude, energetic and proactive
  • Broad scientific and technical understanding of biotechnological companies and products

Responsibilities of the Medical Communications Systems Coordinator

The specific duties of the Medical Communications Systems Coordinator include but are not limited to:

  • Own and manage the implementation and deployment process of our Medical Information/Medical Communications software.
  • Develop and deploy training on best practices for use of our Medical Information/Medical Communications software.
  • Generate and disseminate monthly reports on KPIs and insights to appropriate cross-functional stakeholders
  • Develop, refine, drive processes and track materials to support Medical/Legal/Regulatory review and approval of promotional and non-promotional materials.
  • Initiates material submissions to MasterControl and to the VEEVA PromoMats Coordinator and works with the PromoMats Coordinator to ensure all supporting materials used as references are uploaded and linked appropriately.
  • Track and document reviewer comments on materials in the review process and elicit necessary revisions from necessary stakeholders
  • Oversees departmental budget tracking including annual/monthly/quarterly reporting. Partners closely with Finance Team and Department Leads to ensure appropriate budget planning and visibility.
