This Opportunity

WSP is seeking an Assistant Vice President, Project Controls lead to join our West Transportation team in Tacoma, WA. This position may be available for remote work on an occasional basis. 

The Assistant VP, Deputy Project Management Lead will be responsible for overseeing complex projects and supporting project management initiatives to meet client expectations and organizational standards. This role requires strategic leadership, operational oversight, and a focus on project deliverables, ensuring seamless project execution, resource optimization, and client satisfaction. 

Your Impact

Project Leadership and Oversight:

  • Lead and manage the administrative, commercial, and technical aspects of assigned projects, ensuring compliance with contractual agreements and company standards.
  • Oversee cross-functional project teams, managing project budgets, schedules, resources, and risk registers to deliver project objectives on time and within budget.
  • Maintain client satisfaction by providing regular updates, overseeing quality control, and mitigating project risks.
  • Support project execution through earned value analysis, monitoring actual vs. planned spending, and tracking project metrics.

Project Planning and Coordination:

  • Assist in developing detailed project proposals, budgets, work breakdown structures (WBS), and resource plans.
  • Prepare and maintain project documentation, including schedules and compliance records.
  • Coordinate with senior project managers for project-level staffing needs, procurement, and document control, ensuring all deliverables meet established requirements.
  • Conduct project kick-off meetings, establish communication plans, and track action items to drive accountability.

Client and Stakeholder Engagement:

  • Act as a liaison between the project team and client, supporting client communications, project updates, and issue resolution.
  • Prepare and facilitate project meetings, manage agenda setting, and capture meeting notes and action items.
  • Support post-proposal debriefs, client feedback sessions, and “lessons learned” write-ups for continuous improvement.
  • Participate in industry events and trade shows to enhance client relationships and industry knowledge.

Financial and Resource Management:

  • Monitor project budgets, cash flows, and accounts receivable to ensure financial targets are met.
  • Oversee cost control measures, manage budget forecasts, and ensure contract compliance through accurate invoicing and budget-tracking software inputs.
  • Manage project staffing and support the development of project specifications, design reports, and other documentation.

Team Mentorship and Development:

  • Update key staff resumes and project descriptions, supporting staff as necessary in documenting roles and responsibilities.
  • Conduct project closeout activities, document lessons learned, and drive continuous improvement initiatives within the team.
Who You Are

Required Qualifications

  • Bachelor’s Degree in Business Administration, Engineering, Project Management, or a related field.
  • 10+ years total experience. Background of project controls experience, preferably in a public agency or private consulting infrastructure-related environment is preferred.
  • Proficient in project management software (e.g., MS Project, Excel) and tools for scheduling, budgeting, and reporting.
  • Excellent organizational, communication, and client management skills.
  • Ability to work independently, manage multiple concurrent projects, and collaborate across departments.
  • Experienced with providing critical review for documents and preparing project deliverables with a high degree of complexity. 
  • Demonstrated effectiveness at coordinating resources and assertively directing consultants, subcontractors, and others to consistently complete tasks competently and efficiently. 
  • Proven track record of upholding workplace safety and ability to abide by WSP’s health, safety and drug/alcohol and harassment policies. 
  • Ability to work schedules conducive to project-specific requirements that may occasionally extend beyond the typical work week. 
  • Occasional travel may be required depending on project-specific requirements.
