Job Description
Position Summary
The Food & Beverage Office Administrative Assistant handles daily administrative duties for the Food & Beverage office at The Little Nell. This position oversees daily office operations and assists with training reservationists, operational support, and ensures effective and consistent communication between all restaurant management within the Food & Beverage outlets within the hotel. This position reports to the Assistant Director of Food & Beverage.

Essential Job Functions/Key Job Responsibilities
• Communicate daily with the Assistant Director of F&B and all urgent requests or issues are brought to light immediately and F&B department heads on operational needs
• Maintains a rolling 90-day calendar of important due dates, hotel closures, restaurant activities and operating hours
• Assists in the maintenance of financials via the Check Book
• Answers phones, transfers to appropriate extension or takes messages, handles guest or vendor requests when appropriate
• Types all correspondence for the department including daily reader board, menus, letters, memos
• Orders office supplies based on par levels and special needs
• Manages mail for Assistant Director of F&B including sorting daily “in” box and “out” box, handling samples and returns, mail lists and all other mail related duties
• Reviews invoices for approval
• Takes and distributes weekly divisional meeting minutes
• Maintains office equipment and arranges maintenance requests as needed
• Maintain files for division managers, including preparing PAF’s for approval
• Assist in sourcing products for the department as needed
• Run errands off property as requested by the Director or Assistant Director of F&B
• Other duties as assigned
Qualifications
Education & Experience Requirements
• Bachelors degree preferred
• 1 year of Food and Beverage operational experience preferred
• Notary Preferred
Knowledge, Skills & Abilities
• Proficient knowledge with all emergency procedures, act responsibly and in accordance with policies and procedures in the event of an emergency
• Proficient knowledge in Microsoft Office Suite
• Respond and communicate to specified departments in event of fire alarm activation
• Ability to report to shift on time
• Ability to comply with all policies and procedures for PBX Department
• Knowledge of hotel fire and safety procedures. Be able to carry out alarm procedures on fire panel in PBX office and assist in emergency and security procedures as directed by management
• Complete tasks and projects delegated by your manager and assist other departments as business volumes and staff levels demand
• Ability to manage multiple priorities and projects simultaneously without sacrificing quality
• Skilled in managing relationships with both internal and external stakeholders
• Ability to develop strong working relationship with those contacted in the course of work
