Position Summary
Manages administrative and financial operations for the department.
Job Responsibilities
- Initiates and maintains departmental procedures and financial systems to assure smooth functioning of the department. Ensures systems in place for data back-up on departmental computers. Orients and instructs new staff in departmental procedures.
- Collaborates with Chairman to formulate long- and short-term strategic and operational plans for the department.
- Oversees minor major departmental capital renvation projects; coordinates work schedule with construction personnel, departmental staff, services shutdowns and all other matters. Coordinates temporary swing space accommodations as necessary.
- Supervises personnel matters in the Department. Handles employee grievances and problems.
- Develops department annual capital and operating budgets; analyzes performance against operating budget. Monitors all department research accounts and manages financial activities; invests all available monies as appropriate.
- Directs all day-to-day activities: review and approve all expenditures; supervises the maintenance of financial records; meets with faculty periodically to give account updates. Reviews telecommunications and computer charges and cost allocations.
- Reviews appointment paperwork for departmental faculty and staff: maintains departmental files. Reviews with staff the work with Immigration Manager regarding necessary documents for immigration and visa arrangements.
- Oversees all departmental facilities and equipment. Initiates maintenance and repair requests as necessary. Supervise the preparation of all space surveys; monitor, document and report moves or changes. Supervise the maintenance of equipment inventory.
Education
- Bachelor's Degree in related field
Experience
Approximately 3-5 years progressively responsible administrative, financial and supervisory experience, preferably in an academic medical center.
Extensive accounting experience.
Knowledge, Skills and Abilities
- Demonstrated organizational skills and ability to pay close attention to detail.
- Effective oral and written communication skills.
- Excellent Interpersonal skills including ability to work with students, faculty, and staff; sometimes in situations requiring quick judgments and responses.
