Job Title: Facilities, Fleet and Safety Manager
Status: Full-Time/ Exempt
Reports to: CFO
Location: Orlando, FL
Position Summary:
The Facilities, Fleet and Safety Manager will take ownership of facilities, fleet and safety. This position will oversee Fleet, HVAC, electrical, plumbing, security, environmental, safety, and custodial.
Job Description:
Fleet Management
- Keep equipment operating by enforcing operating instructions, troubleshooting breakdowns, requiring preventive maintenance and managing repair process
- Manage vehicles through their full lifecycle. Ensure utilization and participate in annual fleet replenishment planning
- Maintain electronic database of sales, registration, inspections and maintenance of the Company’s fleet
- Manage Telematics system. Ensure GPS tool is installed and working on all vehicles
- Perform regular safety inspections on the fleet
- Perform monthly (minimum) inspections to ensure every vehicle is inspect 2x annually
- Verify vehicle registration, insurance tags and documentation regarding induction of new vehicles in existing fleet
- Manage annual insurance card update process
- Maintain fleet, fuel card and telematics data bases
- Prepare monthly fleet management report
Facilities Management (SWFL/CFL Warehouses & Central Florida Properties)
- Maintain security and general administration of facilities
- Plan and oversee building preparation and renovations
- Test and verify critical electrical and mechanical systems
- Manage building maintenance activities
- Develop and maintain relationships with contactors and vendors ensuring efficient facility operations
- Supervise and measure vendor performance for cleaning and landscaping. Propose improvements or means to economize
- Ensure that facilities meet government regulations for environmental, health and security standards
- Advise on energy efficiency and cost-effectiveness
- Assist with planning of and monitor progress on projects involving Facilities as assigned for existing and new offices
Safety Coordinator Responsibilities
- Train and enforce strict compliance of OSHA regulations. Maintain a working knowledge of all safety guidelines and regulations, especially those related to the handling and storage of hazardous materials including creation and/or implementation of procedures/policy
- Design and implement safety programs; both in the office and field
- Stay up to date on state and federal workplace safety regulations
- Develop and facilitate safety training programs
- Conduct informational meetings for employees regarding proper health and safety habits and procedures at work.
- Identify and implement corrective actions for any health and safety hazards
- Recommend ways to improve health and safety in the workplace
- Write up reports detailing health and safety issues
- Present reports and suggestions for improvement to company executives
- Field inquiries from employees about proper safety procedures
- Respond to on-site emergencies and accidents
- Investigate on-the-job accidents and writes up reports
- Identify hazards or faults that caused the accident and devises strategic plan to remedy those problems
- Monitor work place to ensure all activity meets safety compliance
- Conduct official audits of the warehouses, offices, and field
Other/General
- Work with all departments to facilitate their needs for facilities and fleet.
- Implement and maintain safety programs in compliance with OSHA and insurance carrier standards
