Summary:
The Program Coordinator is responsible for general administrative support for the Key Executive Leadership Certificate Programs. The incumbent serves as the main point of contact and coordinator for their assigned cohorts (e.g., DHS, USSS, FS, USDA, etc.), University constituents, and Key staff and faculty to develop and implement the executive education programs. Supports up to five cohorts of 20 students at a time, and additional 8-10 faculty members.
The Program Coordinator supports students, faculty, and agency representatives throughout their in-person and/or virtual programming. The position requires continuous interaction with students, faculty, government agencies and other campus constituents.
This position works directly with the Key Certificate Programs Assistant Director. This position is externally funded.
Essential Functions:
1.) Academic Program Administration
Contact assigned faculty in every class and review syllabi to ensure that they reflect the latest agreed upon revision between the faculty and the Program Director.
Order all books in a timely manner to ensure they are distributed to participants 30 days in advance of the program initiation.
Reproduce all articles and case studies in a timely manner to ensure they may be distributed 30 days in advance of program initiation.
Respond to all participant and agency inquiries before a program start.
Create and maintain a filing system for all office records, programs, and schedules.
Update schedules based on faculty availability. Maintain pertinent faculty and student files.
2.) Class Preparation/Student Support
Serve as the primary point of contact for Key Executive Program students and faculty in resolving problems related to academic, financial, and administrative needs.
Manage and schedule course evaluations; process and summarize the evaluations; and submit evaluation reports to faculty and the Program Director.
Order and track books and other required supplies.
Create average cost reports per student, cohort, and course.
When classes are in session, support faculty and students by serving as an intermediary between the students and AU offices.
3.) Program Support/Event Planning
Plan and handle all cohort orientations and graduations, and coordinate with multiple departments on campus (AU catering, AV, ID Office, etc.) as well as Agency representatives to ensure events are executed successfully.
4.) Other duties as assigned
Salary Range:
$27.47-$29.94 per hour.
Position Type/Expected Hours of Work:
Full-Time.
35 hours per week.
Required Education and Experience:
High school diploma or equivalent
1-3 years of relevant experience required
At least 2 years of administrative/program support experience required.
