Under the direction of the General Manager, the Operational Administrative Assistant assists the operations team with organization and compliance.
Essential Duties and Responsibilities:
This list of duties and responsibilities is not all inclusive and may be expanded to include other duties and responsibilities as management may deem necessary from time to time.
1. Maintain policies, procedures and practices relating to the management of material return authorization process (MRA).
2. Further development of MRA process using BisTrack and other technology.
3. Monitor vendor schedule to ensure material is sent back in a timely manner | work with receiving and yard manager to ensure material is sent back on appropriate days
4. Maintain contact with vendor representatives to ensure credit is received in timely manner
5. Issue credit to customer in accordance with MRA process (when applicable)
6. Assist accounts payable in entry of supplier credits (when applicable)
7. Issue stock product credits for material returned to location
8. Review daily journey manifest from operation team and report/correct any discrepancies for location
9. Complete cash tray reconciliation for location on a daily basis within BisTrack
10. Complete and reconcile daily bank deposit
11. Assist in inventory management (orphans/negatives/cycle counts/year-end inventory) for location, updating store labels for price changes and/or new products and entering monthly store/yard usage report
12. Assist in receiving process for entering product into system
13. Monitor, organize, and order office supplies
14. Collecting, sorting, distributing, and preparing mail and courier deliveries
15. Assisting with the welcoming and functionalities of the store (guest amenities, product & literature samples, stocking of retail items, and organization of showroom)
16. Ensuring customer satisfaction is met and exceeded by assisting with customer questions at the store, over the phone or via email, assisting in selling, promoting and marketing Zuern, distributing vendor leads from various platforms, and partnering with the sales team
17. Assisting the GM in various duties such as facilitating trainings, organizing internal and external events at the store, and other miscellaneous projects
