Sentara Health Employee Assistance Program is seeking to hire a qualified individual to join our team as an Administrative Assistant.
Position Status: Full-time, Day Shift
Position Location: 2 days on-site in Newport News, 3 days a week remote.
Standard Working Hours: 8:00AM to 5:00PM
Overview
Perform a variety of administrative tasks aimed to optimize the time and performance of a manager or employees of a department; higher level roles will work for higher level managers or departments. Tasks may involve acting as a first point of contact, dealing with correspondence and phone calls, managing diaries, organizing meetings and appointments, preparing documents or reports, and controlling access to the manager or the department. May involve dealing with confidential information. Minimum of 1 Sr Director + 2 more supported from list below: Sr. Directors, Directors.
Provide comprehensive administrative and operational support across five Employee Assistant Program divisions, including:
Project coordination and data management
Front desk customer service and client intake
Ensuring client paperwork is completed and properly attached to case files
Collaborating with client executives and managing data in EAP software
Generating and analyzing reports as requested
Coordinating contract assignments and ensuring timely execution
Representing the organization at on-site health fairs and wellness events
Supporting special projects as assigned by the Employee Assistant Program Director
Managing calendars and scheduling appointments
Education
High school diploma or equivalent
Certification/Licensure
No specific certification or licensure requirements
Experience
4-6 months basic experience of simple office/operational Required
Proficient in excel Required
Microsoft suit experience Required
Tech savvy, good communication and presentations skills Required
EMR software experience Preferred
