Overview:

We are seeking a highly organized and strategic Sr. Manager of Business Administration to oversee and manage all administrative functions across the company. This leadership role will focus on optimizing office administration, vendor management, procurement, and contract negotiation to drive efficiency and support business objectives.

Job Responsibilities

Manage office space planning, facilities management, and maintenance:

  • Self-owned real property management.
  •  Manage the outside property management company. In charge of building design, improvement, and security along with 3rd party vendors and Projects management.

Company assets, equipment and supply inventory management:

  • Equipment and fixed assets management, including R&D and office use equipment, laptops, desktops, servers, etc.

Policy and procedures:

  • Developing and implementing office policies to ensure smooth day-to-day operations and compliance with company standards.
  • Drafting and updating workplace policies related to office management, facilities use, security, and safety protocols.
  • Creating standard operating procedures (SOPs) for administrative workflows, vendor management, and facility maintenance.
  • Ensuring policies align with local regulations, industry standards, and company Establishing procedures for workplace services such as mail distribution, office supplies management, and space planning.
  • Conducting regular policy reviews and updates to improve efficiency and adapt to organizational changes.

Office Administration:

  • Oversee day-to-day office operations across all our locations, ensuring a productive and efficient workplace.
  • Develop and implement office policies and procedures to enhance operational effectiveness.
  • Responsible for customer visits and serving employees, and office demand from other departments.

Vendor Management:

  • Establish and maintain strong relationships with vendors and service providers.
  • Evaluate and select vendors based on quality, cost, and reliability.
  • Monitor vendor performance and negotiate contracts to achieve favorable terms.

Procurement:

  • Develop and execute procurement strategies to meet business needs.
  • Manage purchasing processes, including vendor selection, negotiation, and order fulfillment.
  • Ensure cost-effective purchasing while maintaining quality standards.

Contract Negotiation:

  • Lead contract negotiations with vendors, suppliers, and service providers.
  • Ensure contracts align with company policies and legal requirements.
  • Monitor contract compliance and address any discrepancies.

Leadership & Collaboration:

  • Lead and mentor a team of administrative and operations staff.
  • Collaborate with cross-functional teams to align operational strategies with company goals.
  • Drive process improvement initiatives to enhance operational efficiency.

 

 

Requirements

  • Bachelor’s degree in business administration, Operations Management, or a related field. Master's degree preferred.
  • 7+ years of experience in operations management, office administration, or a related role.
  • Experience in managing multiple office sites.
  • Proven experience in vendor management, procurement, and contract negotiation.
  • Strong leadership and project management skills.
  • Excellent communication, negotiation, and problem-solving abilities.

Benefits

Salary range: $130,000 - $160,000
