Administrative Assistant
About the Position: The Oklahoma Department of Mental Health and Substance Abuse Services’ (ODMHSAS) Office of the Inspector General oversees all employee civil rights and consumer rights programs. Additionally, the Office of the Inspector General investigates all allegations of consumer abuse, mistreatment and neglect in state-operated facilities and facilities certified by the agency, and handles a wide array of complex investigations and inquiries related to violations of agency policy, regulations, and applicable state and federal laws.
Key Responsibilities:
- Maintain accurate and confidential records related to civil rights complaints, consumer rights issues, and investigative cases.
- Prepare, draft, and format official correspondence, memos, and reports on behalf of the OIG.
- Schedule and coordinate meetings, interviews, and investigative activities.
- Enter and track data related to complaints and investigations in internal databases; generate summary and statistical reports as needed.
- Assist with reviewing, distributing, and maintaining agency policies, procedures, and training documentation.
- Transcribe interview notes, prepare timelines, and assist with summarizing investigative findings.
- Ensure compliance with agency confidentiality policies and applicable federal and state privacy laws (e.g., HIPAA).
- Provide administrative support for training sessions, outreach events, and internal audits related to consumer and employee rights.
- Serve as a liaison for internal and external communication, ensuring timely and professional handling of inquiries related to OIG matters.

Minimum Qualifications and Experience:
- Bachelor’s Degree;
- Two years of technical clerical, secretarial, or general office work;
- Or an equivalent combination of education and experience.
Special Requirements:
- Applicants must be willing and able to fulfill any job-related travel normally associated with this position and as such have a valid driver’s license
