Job Details:

Purpose

The Administrative Assistant in centers at the School of Nursing provides essential administrative support for the following activities within the UT Austin School of Nursing (SON):

Assist in dissemination activities such as webinars, conferences to disseminate long term care related practice content to long-term care facilities from across Texas. Assist in data collection activities of members attending the dissemination activities and awarding of CEU credits. Assist in data collection activities for pre-award grant proposal preparation at the Cain Center. Assistance to the Directors for Center for Gerontological Nursing and the Cain Center for Nursing Research in the School of Nursing. This position reports to the Directors for Center for Gerontological Nursing and the Cain Center for Nursing Research

Responsibilities

For the Center for Gerontological Nursing:

  • Provide administrative assistance to the Center Project Coordinator as they plan, execute and coordinate webinars, seminars or conferences on long-term care best practices.
  • Serve as a point of contact for attendees from long-term care facilities, responding to and following-up on emails and providing information.
  • Provide logistical support for webinar/seminar/conference attendees.
  • Collect evaluation data from members attending the dissemination activities.
  • Facilitate activities related to awarding of CEU credits to attendees.
  • Maintain databases of attendees from Texas long-term care facilities, contacts and resources
  • Generate reports and analyze data related to webinar/seminar/conference activities.

For the Cain Center for Nursing Research:

  • Provide administrative assistance to the Center Director during large grant submissions.
  • Assist with extracting demographic and historical academic data from multiple schools with UT Austin.
  • Assist in data table generation and formatting as per grant guidelines.

Required Qualifications

·       Associate’s degree or higher.

·       Ability to work independently and as part of a team.

·       Strong organizational and multitasking skills.

·       Proficiency in office software and tools such as MS office, BOX, Qualtrics, etc.

·       Strong written and verbal communication as well as a demonstrated ability to interact effectively with faculty, staff, and students.

·       Experience with calendaring software and platforms, which may include Google, Microsoft Outlook, Doodle, Calendly, etc.

·       Willingness to learn new skills as required by the position.

Relevant education and experience may be substituted as appropriate.

Preferred Qualifications

·       Bachelor’s degree or relevant educational background.

·       Prior administrative experience supporting small teams and/or managers.

·       Experience working in a financial or a higher education environment.

Salary Range

$24,000 (prorated half-time basis)
