The Administrative Coordinator provides administrative support in a variety of functions to the Office of the Vice Chancellor for Student Affairs (OVCSA). This individual directly supports multiple members of the senior leadership team and serves as the primary receptionist for the office.Job Description
Primary Duties & Responsibilities:
- Provide administrative support to designated members of the Student Affairs Leadership Team (SALT), including calendar scheduling, coordination and completion of expense reports in Workday, records management, coordination of hiring student employees, and data entry.
- Staff OVCSA Reception desk during office hours, greeting visitors, fielding phone calls and directing appropriately, responding to general email inquiries, and ensuring the office is welcoming and inviting. Gathers information and prepares correspondence; researches and resolves issues.
- Serves as point of contact for Shared Business Services related to financial transactions for the department and, at times, the division. Submits requests to SBS via Service Now related to office operations. Reviews and verifies documentation for completeness and compliance with policies and procedures.
- Performs clerical duties such as making copies, sorting mail, preparing meeting agendas, coordinating mailings, filing, and maintaining office supply inventory, assists in creation of presentations and other materials.
- Assists in coordination of complex projects, events, and/or special activities such as orientations, advisory committee meetings, etc.
- Performs other duties as assigned.

$21.17 - $32.85 / HourlyThe salary range reflects base salaries paid for positions in a given job grade across the University.
