Position Overview: The Administrative Assistant supports the success of the agency through excellent, organized, and proactive clerical support and work organization. This role is located in our Wyomissing, PA office and is responsible for greeting clients at the front desk, handling the main phone line system, and delivering high volume client materials.
Work Arrangement: This is a full-time position working in our office located in Wyomissing, PA.
Professional Responsibilities:
- Provide a professional and welcoming experience for clients, guests, and other visitors at the front desk reception area.
- Respond to main phone line, directing callers, taking messages, and forwarding communications as appropriate.
- Organize and implement administrative support for the completion of open enrollment booklets including using Publisher or Word software to update documents, overseeing printings, and compiling the documents into envelopes, folders, or binders.
- Prepare correspondence for the agency and oversee scheduled communications including survey invitations, promotional mailing, and email campaigns.
- Handle all mail including tracking certified mail and ensuring items are processed in accordance with delivery specifications.
- Create and modify spreadsheets for reporting and tracking purposes.
- Prepare miscellaneous reports, quotes, proposals, letters, mailings, newsletters, presentation binders, PowerPoints, notifications, etc.
- Perform data entry work including entering confidential data into applicable systems.
- Schedule and coordinate appointments for management when needed.
- Complete miscellaneous filing, copying, scanning, typing, etc. while maintaining an organized filing system.
- Provide administrative support to the Agency’s Principal, as needed, including scheduling, correspondence preparation, document organization, process tracking, and other clerical support.
- Send monthly webinar invitations and register attendees.
- Research prospects and client information, as requested.
Qualifications and Requirements:
- High School Diploma/GED (required)
- Previous experience demonstrating a high level of independent initiative (required)
- Associate degree in Business Administration, Healthcare Management, or similar, or equivalent level of prior relevant experience (preferred)
- 1+ year of recent administrative support or client service experience. (preferred)
