PURPOSE OF ANNOUNCMENT:

The Office of Information Technology is seeking candidates for an Office Associate II position located in Augusta, Maine.  

JOB DESCRIPTION:

This position requires significant direct contact with members of the public and other agencies in person and by phone.  The position also performs routine, varied office support tasks often requiring the operation of technical office equipment as well as knowledge of Microsoft applications.  Your responsibilities will require making some independent judgment in prioritizing assignments.

TYPICAL DUTIES:

  • Provides clerical functions to support OIT employees and contractors; and to assist the Directors, Managers, and Team Leads.
  • Provide customer service by answering the Radio Operations Line and routing calls to appropriate employees.
  • Processing mail, ordering supplies and equipment, receiving and processing deliveries.
  • Assist in processing Footprint, Assyst, and MCM tickets for new hires, terminations, and work orders.
  • Procure goods and services. Apply proper coding to associated invoices.
  • Enter purchase/delivery orders, contracts, and amendments in Advantage.
  • Attends Board/Executive Committee meetings; prepares agendas, types minutes, and arranges schedules.
  • Receive and escort customers from the lobby area to a meeting room or office.
  • Provide training to new employees in the administrative office.
  • Conduct workstation evaluation for all new hires to ensure they are set up free from injury and ensure proper knowledge transfer.
  • Assist with processing travel and expense vouchers for all OIT personnel.
  • Generate Received Reports to assist Finance staff with documenting goods received.
  • Assist OIT employees and contractors with scheduling of meetings and reserving rooms.

OIT is seeking someone with a proven track record of successful multi-tasking abilities.  In addition, a successful candidate will have a proven ability to communicate effectively with multiple stakeholders in coordination of goals.

MINIMUM QUALIFICATIONS

Training, education, or experience in office and administrative support work that demonstrates:

  • 1) competency in applying a solid knowledge of modern office practices to perform complex, varied office support tasks, and
  • 2) the ability to use independent decision-making on the appropriate processes to follow, information to process, and actions to take in accordance with standard procedures.  All positions in this classification assume the qualifications of: Office Assistant IOffice Assistant II, and Office Associate I.

The background of well-qualified candidate will demonstrate experience in the following areas:

  1. Skilled in the use of standard Microsoft applications: Word, Excel, Outlook, SharePoint, etc.
  2. Prior experience performing a broad range of administrative duties.
  3. Prior experience working with customer service which involves direct contact.

Preference may be given to applicants that, along with meeting the above desired attributes, also possesses.

  • Advanced knowledge of Microsoft Word, PowerPoint, Excel and Teams
  • Advanced knowledge of Microsoft Outlook to include scheduling features
  • Background in customer service.
  • Experience using Advantage
