About the role

Description

The administrative assistant works independently, and also as a team with the other staff members to coordinate daily administrative duties. This key position is responsible for general administrative tasks, diversified office duties, departmental projects, and coordination of sensitive information.  This is a Full-time hourly position.


  •  Responsible to the dissemination and coordination of sensitive information in a professional, discrete, and confidential manner. Routinely handles confidential material and ensures disclosure is restricted to approved personnel.
  • Coordinates daily administrative operations including:
  • Process budget requests and reimbursements;
  • Prioritizing tasks to meet set deadlines;
  • Distribution of mail, agenda preparation, phone coordination and meeting minutes;
  • Database preparation updates, and routine maintenance of files and records;
  • Coordinates events as assigned, e.g., meetings and related activities.
  • Provides word processing support for a wide range of materials including legal documents, letters, reports, memos, brochures and forms.
  • Assists in the care and maintenance of departmental equipment, and manages availability of supplies.
  • Coordinates and organizes multiple projects and prepares presentations as requested.
  • Provides back-up support for co-team members. 
  • Assisting with scheduling of STNA and Nursing interviews and tracking new hires for Health Center.
  • Tracking time and attendance and FMLA for Nursing Department.
  • Other duties as assigned

Requirements

Required

  •  Associate degree in a business field or the equivalent education/experience. 
  • Excellent verbal and written communication skills. Fluent in the English language.  
  • Minimum of three years secretarial or administrative assistant experience required.
  • Must be able to adapt to shifting responsibilities, as the needs dictate.
  • A strong team player with excellent relational skills.
  • Demonstrated self-starter requiring minimal supervision.
  • Possess the ability to work in a fast pace environment with a high degree of attention to detail and accuracy. 

Preferred

  •  Current Notary Public Status 
  •  Computer proficiencies include: Windows based applications Word Perfect, Microsoft Word, Excel, Access, Power Point, and Internet skills.
