Senior Manager Supplier Documentation Management - Erlanger, KY

Position Summary
The Senior Manager, Supplier Documentation Governance is the Process Owner for raw material supplier documentation workflows. This leader designs, governs, and continuously improves end-to-end documentation processes to ensure complete, compliant, and audit-ready submissions prior to Regulatory and Quality approval.
Operating within a Procurement-owned, cross-functionally endorsed governance model, this role establishes readiness standards, enforces workflow discipline, and drives measurable performance improvement across the supplier documentation lifecycle.
Regulatory and Quality retain final technical approval authority.
This position leads a team of two direct reports and oversees contractor/third-party resources supporting documentation operations.  This role will commence the oversite of workflow functionality for Erlanger.  Once that is stabilized, then Vineland and Monroe.  Additional document retrieval for existing raw materials will need to be evaluated at a future date. 
Key Responsibilities
Process Ownership

  • Design, standardize, and scale supplier documentation workflows (new materials, second sources and distributor change).
  • Establish mandatory documentation requirements by material risk tier.
  • Implement and enforce workflow stage gates.
  • Define and maintain RACI governance structures.
  • Lead continuous improvement initiatives to enhance speed, accuracy, and compliance.
  • Standardize dashboard for cross-functional visibility of workflow status
Governance & Decision Authority
This role has formal authority to:
  • Define documentation standards and completeness criteria.
  • Reject incomplete or inaccurate documentation packages.
  • Block advancement to Regulatory or Quality review when readiness standards are not met.
  • Escalate non-compliant suppliers through Procurement leadership.
  • Publish performance dashboards to executive stakeholders.
Team Leadership
  • Lead, develop, and performance-manage two direct reports.
  • Oversee contractor and third-party resources supporting documentation intake, validation, and tracking.
  • Establish workload prioritization standards and service-level expectations.
  • Build capability within the team to drive first-pass accuracy and reduced rework.
Performance Management & KPIs
Own, monitor, and report enterprise metrics, including:
  • First-Pass Approval Rate (Target ≥95%)
  • Documentation Cycle Time (risk-tiered targets)
  • Rework Rate (Target ≤5%)
  • Expired Documentation Incidents (Target: 0)
  • Audit Findings Related to Supplier Documentation (Target: 0 Major Findings)
Business Impact
  • Strengthens audit defensibility and regulatory compliance.
  • Accelerates material approvals and second-source activation.
  • Reduces cross-functional friction through clear governance.
  • Improves documentation quality and first-pass performance.
  • Reinforces Procurement ownership of supplier workflow execution.
Qualifications
  • Bachelor’s degree required; advanced degree preferred (Food Science, Regulatory Affairs, Quality Systems, Supply Chain, or related discipline).
  • 8–12+ years of experience in food manufacturing, supplier quality, regulatory compliance, or procurement operations.
  • 3+ years of people leadership experience.
  • Demonstrated success building and governing cross-functional workflows.
  • Strong knowledge of supplier documentation requirements in regulated food environments.
  • Proven ability to influence across functions without direct authority.
  • Executive-level communication and analytical capability.
