About the role

Title of Position:  Administrative Assistant I, Licensure and Certification 

Reports to:  Director, Licensure & Certification

Description of Position:  The Administrative Assistant I, Licensure & Certification position is responsible for providing exceptional service to districts/charters, the education community, and the public. This position will be responsible for processing applications for educator positions in Pre-Kindergarten to Adult Education. The Administrative Assistant I position will also be responsible for responding to customer services requests through the Department's KACE service ticketing system. Additionally, this position will answer phones, respond to inquiries from educators, the public, institutes of higher education, and other callers. 

Major Responsibilities Include:

  • Assist with processing licenses, certificates, and permits for educators in Delaware, processing salary increments, evaluating appropriateness of requests for approval of institutes of higher education, their degree programs, or for courses of study for salary increments in accordance with established criteria. Ability to work with confidential documents.
  • Respond to telephone and email inquiries from district/charter human resource staff, current educators and the public. Answer the telephone with a courteous voice and provide accurate information in addition to welcoming the public to the Licensure and Certification Office.   
  • Maintain files in an accurate manner. Archive and/or shred files in accordance with approved Division of Public Archives records retention schedules.
  • Provide secretarial support to the Director, Licensure & Certification and other professional staff as needed. Prepare correspondence, coordinate meetings, appointments, prepare reports, copy materials, and file as required.
  • Perform computer-related operations such as creating, composing, editing, and filing of documents utilizing Microsoft applications such as Word, Excel, Power Point, Access, and our specialized database, DEEDS, etc.
  • Participate in meetings, remote and live, using WebEx or technology as appropriate. Possess and utilize Smartphone technology when/if working remotely.
  • Perform other duties as assigned to carry out the work of the group to meet established goals and timelines.


Essential Qualifications and Skills

Education:  Minimum high school diploma or GED; some college coursework preferred.

Experience:

  • 3-5 years demonstrated experience with Windows, Microsoft Office Suite, Chrome browser and multitasking between windows.
  • Experience interpreting code, regulations, policies and/or procedures preferred.
  • Experience with handling confidential documents.
     

Skills:

  • Must be proficient in Windows and Office Suite.
  • Must be proficient in use of Windows and Chrome, addressing multiple windows and tabs simultaneously.
  • Skill in collecting, compiling, evaluating, and analyzing information from a variety of sources.
  • Must have excellent oral and written communication skills, handling questions and concerns with speed and professionalism.
  • Ability to thrive in a fast-paced environment focused on serving others.
  • Ability to multi-task without sacrificing quality of work.
  • Ability to prioritize a wide range of tasks with competing deadlines.
  • Must have excellent interpersonal skills and the ability to deal with staff in a tactful, congenial and personal manner.
  • Discretion and confidentiality are essential.


Salary:
Salary Range: $44,870.60-$64,980.00 annually. The final salary will be determined based on the candidate's education and experience in accordance with the Department of Education's compensation policy.  The position includes a comprehensive benefits package including health, dental, and vision insurance, participation in the state retirement program, annual, sick, and personal leave, and supplemental benefits options. Direct deposit of payroll checks is a condition of state employment, and employees are paid on a lag pay schedule with the first payment made after approximately one month of employment.
