As the Experience Coordinator for The Center, you are the face of our organization; connecting employees, business partners and guests to resources enabling innovation, collaboration, and learning. In addition to this, you will also ensure the successful coordination of events hosted at the site. You will be responsible not only for the planning and execution of scheduled events; but will also be proactive in outreach to ensure internal stakeholders and external partners understand the capabilities and benefits of using The Center. *This role is 32 hours per week, this role is expected to be on-site, located in Indianapolis, IN. Qualified candidates must currently reside within the Indianapolis, IN area*
Essential Functions
- Deliver an exceptional experience to every person, beginning with an unmatched first impression and building rapport with employees, business partners and guests.
- Act as a connector between users and resources in The Center ensuring rooms are set-up appropriately, stocked with needed supplies etc.
- Management of event calendar via Outlook and Reserve software program to ensure rooms are booked accurately and any conflicts are resolved.
- Engage with other Center support team members (IT, Facilities, etc.) to ensure a consistent service experience from all.
- Support front desk coverage during lunches and vacations as needed.
- Successfully manage the identification and addressing of client needs including comprehensive understanding of the total event planning process, event requirements and contractual obligations to implement both small- and large-scale events.
- Responsible for placing catering orders and set up of deliveries.
- Support Center Leader and Center Event Planners on ancillary tasks and additional tasks needed to deliver flawless execution of hosted events.
- Administer the reconciliation of Pcards for our partners utilizing The Center team’s services.
- Mange appropriate vendor relationships to include catering, decorations, entertainment, and transportation.
- Overall, be versatile and flexible to accommodate any needs that arise on a daily basis.
- Administer the management of conference and event rooms reserved
- Manage and organize stock, equipment, and décor closets and rooms
- Be able to effectively negotiate conflict
- Additional duties and responsibilities as assigned, including but not limited to continuously growing in alignment with the Company’s core values, competencies, and skills.
- Preferred Bachelor's Degree in Hospitality, Marketing, Public Relations or similar field.
Experience Qualifications
- Preferred 1+ years Experience with event planning; corporate experience
- Required Prior customer service, front desk, hospitality and/or administrative experience in a professional environment
- Required Flexibility with morning and evening hours. Some weekends are required.
