The Role:
We are seeking an experienced Senior Project Specialist well-versed in Public Sector & EU Funding to play a pivotal role within our team. Operating from our Athens base, this position requires fluency in Greek and a strong procurement background within the Greek and EU contexts. This multifaceted role bridges procurement and project management for urban/ tourism placemaking and destination planning. This position includes spotting EU funding opportunities, aligning tender responses and project proposals with TOPOSOPHY's strategic trajectory, while staying current on industry trends.
Responsibilities:
- Lead small to medium scale projects, or independently handle parts of larger projects, focusing on urban/tourism planning and organizational management initiatives in the context of tourism and placemaking.
- Identify, analyze, and track public sector and EU funding opportunities, including tenders, grants, and partnerships. This includes understanding the requirements of supporting documents detailed in tendering specifications (RFPs/RFIs/RFQs and Public Tenders).
- Prepare compelling tender responses and project proposals, ensuring alignment with funding requirements and TOPOSOPHY’s strategic direction. Manage the bid process, coordinating internally with other departments and externally with partners & vendors.
- Coordinate tender and proposal documentation, monitor the submission and tender process, and ensure that all supporting documentation for participation in public tenders/bids is prepared and collected.
- Collaborate closely with client representatives to collect information on project-related topics and synthesize findings to develop and present alternatives and recommendations.
- Research and apply best practices in tourism, hospitality, urban placemaking, and destination planning, leveraging knowledge and experience to ensure project implementation aligns with industry trends and best practices.
- Prepare and deliver project presentations, reports and deliverables, proactively managing client expectations and ensuring alignment with engagement objectives.
- Manage administrative tasks related to projects, ensuring a high degree of professionalism, ethics, quality, and integrity.
- Stay abreast of industry trends, emerging best practices, new tools and methodologies, and share knowledge with colleagues and clientsws
Requirements
- University degree in Tourism Management, Urban Planning, Public Policy, or similar relevant fields. A postgraduate degree is preferred. A degree in Law or other related fields would also be advantageous.
- Minimum of 6 years of total working experience, of which at least 3 years should be in preparing public tenders and managing the bidding process.
- Knowledge of the legal framework of public contracts and experience with the National System of Electronic Public Procurement Platform (ΕΣΗΔΗΣ) is required.
- Demonstrated experience in tourism, hospitality, urban placemaking, and destination planning.
- Excellent communication and presentation skills, with the ability to engage and influence stakeholders. Proficiency in both Greek and English.
- Strong organizational and time management skills with attention to detail and the ability to work well under time pressures and to prescribed deadlines.
- Exceptional analytical and problem-solving skills, with the ability to think strategically and provide innovative solutions.
- Strong interpersonal skills, with the ability to work collaboratively in a team environment, build rapport with clients, and interact effectively with numerous project stakeholders.
- Demonstrated ability to build and maintain relationships with customers in a challenging and fast-paced environment.
