Job Summary

Under the supervision of WCUCOM OMM faculty and administration, the Coordinator will perform, coordinate, and oversee the management of the office in support of the faculty.  This job position is distinguished from other office manager positions in that the nature, scope, and diversity of responsibilities included in this job position requires highly sensitive support to the WCUCOM faculty.  Responsibilities require the exercise of independent judgment, confidentiality, and technical knowledge of specific areas of assignment.  

Duties and Responsibilities

OMM Department

  • Assist WCUCOM and WCU in the implementation of their respective Mission Statements, Statement(s) of Purpose, Institutional Plan(s), and Financial Plan(s)
  • Perform duties as specifically indicated by supervisors, faculty members, and administration, and provide specific support to the OMM faculty;
  • Maintain accurate and current faculty records;
  • Create, duplicate, and disseminate materials as needed by faculty members;
  • Serve as a resource person for students and refer students to appropriate persons/departments as needed;
  • Assist in ordering and maintaining inventory of office supplies;
  • Monitor office equipment for needed repairs;
  • Assist with planning, setup, facilitation and breakdown of events in the Innovative Learning Center;
  • Grade entry and monitoring for OPP V, VI and VII courses
  • Manage CSA testing;
  • Monitor inventory, location tracking, and repair needs of OMM lab equipment and models;
  • Operation of OMM AV equipment during lab sessions;
  • Notify IT of OMM AV equipment repair needs and system failures;
  • Assist OMM faculty with daily activities;
  • Attend University events when staff participation is expected;
  • Assist in other departments when needed; and
  • Other duties as assigned by faculty members, supervisors, and administrative staff.

OMM Clinic

  • Assist with patient scheduling;
  • Assist with patient check-in and check-out;
  • Assist with faculty and scholar schedule;
  • Submit monthly invoices for faculty hours worked;
  • Assist in ordering and maintaining inventory of clinic supplies;
  • Monitor office equipment for needed repairs; and
  • Other duties as assigned by the OMM Clinic Director and treating physicians

 

Qualifications

Required Qualifications

  • High School diploma or five (plus) years of secretarial/administrative professional job experience.
  • Prior secretarial and administrative work experience and a thorough working knowledge of Microsoft Access, Excel, Outlook, PowerPoint, and Word.
  • Excellent written and verbal communication skills.
  • Experience proofreading and editing.
  • Ability to be punctual and to work required hours, some of which are outside of the 8 am until 5 pm workday.
  • Excellent organizational and interpersonal skills.
  • Ability to work independently, complete multiple assignments, meet deadlines, exercise good judgment, demonstrate tactfulness and discretion, and maintain confidentiality.
  • Ability to solve problems effectively.
  • Willing to work as a team player.
